The Global Business Units (GBU) Events and Special Initiatives Specialist is responsible for supporting the planning, coordination and execution of events and special initiatives that foster engagement, collaboration and growth for the organization and end markets. This role focuses on creating memorable experiences and driving the success of various programs and initiatives that support the Federal & Environment, Advanced Facilities and Energy & Power businesses.

The base salary range for this position is $78,800.00 to $119,130.00. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.

The Global Business Units (GBU) Events and Special Initiatives Specialist is responsible for supporting the planning, coordination and execution of events and special initiatives that foster engagement, collaboration and growth for the organization and end markets. This role focuses on creating memorable experiences and driving the success of various programs and initiatives that support the Federal & Environment, Advanced Facilities and Energy & Power businesses.
Key Responsibilities
- Event Planning and Coordination
- Develop and maintain a process for a comprehensive events program in the GBUs aligned with business objectives and marketing goals, in consultation with business unit operations and sales leaders.
- Create comprehensive event playbooks and standards in line with Jacobs’ global events program to ensure consistent brand experience across identified priority brand and market expansion events.
- Personally plan and execute market expansion events, including annual tier 1 and 2 conferences, client/partner events, thought leadership roundtables and other brand-building activities.
- Provide strategic guidance and enablement tactics to regional teams executing technical and webinars ensuring consistent brand experiences.
- Develop and manage event timelines and budgets, ensuring all tasks are completed on schedule and within allocated funding, with a focus on maximizing impact while increasing efficiency.
- Identify opportunities to elevate our brand presence at industry events worldwide and execute on Jacobs’ participation in premier industry tradeshows and conferences.
- Build and maintain relationships with global partners, sponsors, and industry influencers.
- Develop metrics frameworks to measure event success across markets and drive continuous improvement, including pre and post-event lead generation in Salesforce.
- Coordinate logistics such as venue selection, catering, securing Jacobs housing blocks, exhibit booth needs, registrations, design needs, and onsite support as needed.
- Collaborate with all necessary Jacobs’ corporate functions and business (e.g., marketing, sales, finance, procurement) partners to ensure approvals and event compliance due diligence approvals are in place and communicated.
- Work with support partners to facilitate and manage payments with organizations, associations and Jacobs’ internal Accounting team.
- Communication and Promotion
- Draft and distribute event invitations, promotional materials, including advertisements, exhibit materials and social media blasts, and event reminders through various communication channels.
- Be the main point of contact for GBU conferences and events, working directly with members of our internal end market teams to interface with conference and organization coordinators.
- Maintain and update event information on the Marketing & Communications team SharePoint and other repositories as needed.
- Engage with participants and stakeholders to gather feedback and improve future events.
- Reporting and Analysis
- Track and analyze event metrics and participant feedback to measure success against lead-generation metrics and identify areas for improvement.
- Prepare detailed reports and presentations on event outcomes and special initiatives.
- Maintain accurate records of event contracts and expenses and ensure budget compliance.
- General Support
- Event travel may be required (5-10%) to provide onsite support for logistics and collaboration. Travel may be over weekends and after business hours.
- Be an advocate for the Jacobs brand and guidelines, both in visual representation and written communications.
- Stay informed on industry trends and best practices to bring fresh ideas to the team, including for events, conferences, social media, email marketing and other areas as identified.
- Assist with other duties as assigned to support the overall success of the Global Business Unit Marketing & Communications team.

Here's what you'll need
- Bachelor's degree in Communications, Marketing, or related degree.
- Located in the United States and eligible to work in the U.S. without sponsorship.
- Proven track record of establishing an events program and processes that facilitate effective planning, coordination, lead generation and margin activities.
- Demonstrated experience with global business operations, cultural considerations and managing events across multiple time zones.
- Confident communicating with senior sales and operations leaders.
- Demonstrates excellent written and verbal communication skills.
- Is highly organized with strong attention to detail.
- Can manage multiple projects simultaneously and prioritize tasks effectively without day-to-day oversight.
- Is a proactive problem solver with a positive attitude.
- Enjoys working collaboratively in a global team environment.
- Is tech-savvy and comfortable using digital tools and platforms and learning new ones.
- Has ability to lift and transport event materials as needed.
- Prior experience with federal, environment, energy, pharmaceutical and data center events.
- Located in the Central or Eastern time zone.
