Responsibilities

The essential duties and responsibilities of the Human Resources and Payroll Clerk consist of, but are not limited to, the following. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions:

Payroll Department

Field Payroll

  • Audit and review timecards. Compile timecard reports and verify hours match in payroll system.
  • Distribute payroll checks to proper geographic and project locations.
  • Respond to employee requests for information/reports, as needed.
  • Enter employee changes into payroll system (taxes, reimbursements, etc.)

Field Personnel Files

  • Set up and maintain field employee personnel files.
  • Pull rehire folders, as necessary.
  • Check new hire employee entries for accuracy.
  • Filing of all field related payroll information (i.e., garnishments, unemployment, new-hires, timecards etc.).

Human Resources Department

Onboarding

  • Prepare for new hires by completing new hire checklist, creating new hire binder, and coordinating setup of office space and equipment with I.T. and Office Services departments.
  • Send welcome package to new employee and coordinate travel and lodging, if required.

Benefits Administrative Support

  • Assist with benefit open enrollment and benefit administration in HRIS.
  • Maintain vacation and sick time updates, as needed. Provide monthly vacation accrual report to accounting.
  • Support HR Generalist with benefit statement reconciliations.
  • Monitor ESOP eligibility. Notify employees when eligible, and collect/track acknowledgement & beneficiary form.

Department Administrative Support

  • Process employee changes through HRIS (pay changes, title, inventory, etc.).
  • Department filing and distribution of department mail.
  • Maintenance of personnel, payroll, and benefit files and purging monthly.
  • Maintain alphabetical I9 files and ensure proper completion of I9 forms.
  • Post employee birthdays & Anniversaries on intranet monthly.
  • Prepare promotion, anniversary, wedding, sympathy, and baby cards for signature and distribution.
  • Maintain employee tenure sheet and provide monthly to marketing for toolshed and social media.

Other Duties

  • Complete all unemployment verifications and process quarterly audits.
  • Complete all verifications of employment for field and office personnel.
  • Assist with annual accounting audit by pulling needed employee records or documentation.
  • Maintain inventory of employee tenure recognition items for distribution at annual holiday parties.
  • Participate on the ESOP Core Team to meet objectives, as established.
  • Provide backup support for the Office Services Department, as needed.
  • Attend seminars/educational training programs, as required.
  • Perform any other related or unrelated, unassigned, unspecified duty that may be needed.

Education: Required High School diploma. Associates degree in related field, preferred.

Experience: Required (1) year related human resources, payroll, or administrative experience in an office environment. Bilingual (Spanish) preferred but not required.

Skills: Demonstrated ability to maintain strict confidentiality with sensitive information. Strong interpersonal skills, attention to detail, and exceptional organizational skills. Adept at managing multiple priorities in fast-paced environments. Quick to learn new processes and systems, with a proactive and assertive approach to problem solving.

Physical: Includes sitting, standing, reaching, walking; use of hands, arms, legs, and feet. Must be able to see and hear (with mechanical assistance if necessary) sufficient to understand and comprehend individual one-on-one conversations.

Communication: Must be able to read, write and speak English fluently. Ability to communicate effectively and positively with customers, vendors and employees.

Computer: Proficient with MS Office (Word, Excel, Outlook). Knowledge of HR, payroll or accounting systems preferred.
