Grounded in clinical excellence, doctors in the Allied OMS network maintain essential roles in management, governance, and clinical practice and participate directly in the platform's growth. Seventy-five percent of the Allied OMS board of directors are doctor members, and Allied OMS doctors lead 100% of the platform's management committees.

Founded in 2020 in partnership with DuneGlass Capital, a healthcare services-focused independent sponsor, the Allied OMS network now includes 83 doctors serving patients from 49 locations in Arizona, California, Colorado, Illinois, Indiana, Louisiana, Maryland, Michigan, New York, Oregon, Tennessee, Texas, and Virginia.

Position Summary: The Professional Relations Coordinator is a multi-functional team member responsible for enhancing the patient experience, overseeing front desk operations, and driving internal and external marketing initiatives to promote the practice's brand and growth. This position requires a warm, professional presence at the front desk, creative outreach skills, strong relationship-building abilities, and exceptional organizational expertise to manage scheduling, events, and communication with both internal teams and external partners.

Requirements

Responsibilities:

Internal and External Marketing: Focuses on engaging employees and aligning them with the company's mission, values, and goals. It also communicates company initiatives, updates, and objectives, conducts internal campaigns to boost employee morale and advocacy, and facilitates training and development for brand alignment.

  • Develop strategic marketing and sales programs.
  • Manage communication between the company, patients, and referral sources.
  • Oversee marketing department operations and growth strategies.
  • Handle complaints and resolve conflicts with patients and referral partners.
  • Plan and implement marketing growth strategies with partners and outside sales representatives.
  • Manage social media, website content, search engine placement, and online reviews.
  • Organize and lead events, including educational meetings and training sessions.
  • Build and maintain strong relationships with referring doctors and offices through one-on-one marketing meetings and consistent communication.
  • Coordinate and manage lunch-and-learn sessions and study club meetings to promote the practice.
  • Train staff on marketing strategies to maintain and enhance referral relationships.
  • Analyze practice management reports to identify growth trends and ensure sustainable revenue generation.
  • Develop specialized marketing plans for new doctors to expand referral networks.
  • Plan and execute morale and team-building activities for staff.

Front Desk Operations & Scheduling

  • Coordinate and manage schedules for staff, meetings, and surgeries
  • Communicate with team members and external partners to confirm availability and logistics
  • Utilize scheduling software to optimize resource allocation and minimize conflicts
  • Maintain accurate records of appointments and changes to schedules
  • Provide administrative support as needed to ensure smooth operations
  • Quickly adapt to and manage last-minute changes or cancellations, communicating effectively with all parties involved
  • Follow up with patients to confirm attendance and ensure all necessary arrangements are in place
  • Pre-certifies all surgeries with the patient’s insurance company as required
  • Verifies insurance
  • Represent the practice in a professional, pleasant, and cooperative manner
  • Maintain regular, consistent, and punctual attendance in accordance with assigned schedule and time off policies
  • Must be able to work both independently and cooperatively in team settings
  • Document scheduling information accurately then monitor, audit, and distribute the schedule.
  • Review the operating room schedule, discuss problems or concerns with the appropriate personnel, and collectively resolve any problems.

Working Conditions/Physical Requirements

  • Sitting, standing, and walking for extended periods

  • Good mathematical aptitude in order to prepare and interpret financial and productivity reports
  • Excellent interpersonal skills to communicate and lead a team effectively
  • Near Vision - Ability to see details at close range (within a few feet) as required for computer software programs and the observation of subordinates’ work quality
  • Excellent communication skills - Talking and writing to others to convey information effectively
  • Organizational Skills – Ability to create systems and order, break large goals down into achievable tasks
  • Stress Management - Ability to maintain productivity and professionalism in a fast-paced environment and stressful situations

Experience And Education

  • High school diploma or equivalent
  • Proven experience in scheduling or administrative tasks
  • Excellent organizational and time management skills
  • Strong verbal and written communication skills
