Job Overview

De Mattei Construction Inc. is seeking a proactive and detail-oriented Construction Project Coordinator to support our high-end residential construction projects. This role is ideal for a self-starter who thrives in a fast-paced environment, enjoys solving problems, and is passionate about helping projects succeed from the ground up. You'll play a critical part in managing project logistics, maintaining calendars and documentation, and assisting both field and office teams.

Key Responsibilities

  • Maintain and update project calendars.
  • Coordinate building permits, plan sets, status sheets, and permit binders.
  • Create 'New Project' binders for Project Managers and Superintendents.
  • Support job coordination, including temporary power, toilets, fencing, and dumpsters.
  • Manage subcontractor contracts, data entry (Sage), and Procore tasks.
  • Develop and update punch lists and project files.
  • Handle blueprint orders and manage job binders.
  • Perform occasional job site runs and material pickups/deliveries.
  • Take notes during weekly meetings and help PMs prepare for monthly reviews.
  • Assist with cost-to-complete updates and project scheduling.
  • Prepare Equipment Breakdown Analysis (EBAs).
  • Assemble client manual books, including operating manuals and warranties.
  • Assist in homeowner turnovers for systems and appliance walk-throughs.
  • Maintain subcontractor lists and support accounting with billing/code resolution.
  • Keep the project buy-out schedule current.
  • Maintain strong client relations and uphold De Mattei's brand and image.
  • Research materials and vendors; make purchases online when needed.
  • Participate in staff training and help onboard new employees.
  • Ensure a minimum of 30 billable hours per week.

Qualifications

  • 3+ years of construction administration or project coordination experience.
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and construction management platforms (Procore preferred).
  • Knowledge of construction permitting, scheduling, and vendor coordination.
  • Ability to work in both office and field settings; reliable transportation required.
  • Positive, professional attitude with commitment to high-quality standards.
