Job Overview

Bockmon & Woody Electric Co., Inc. is seeking a proactive and detail-oriented Billing Specialist/Office Assistant to support our accounting and project teams. This position plays a vital role in project setup, billing coordination, and administrative operations. Ideal candidates are organized, tech-savvy, and able to manage multiple priorities in a fast-paced construction office environment.

Responsibilities Include But Are Not Limited To

  • Enter data into Jonas Construction Accounting Software-set up job numbers, input estimates, and manage billing lines.
  • Create and organize job folders on the shared drive; input project startup documentation.
  • Assist with various billing formats, including T&M Billing, PCOs, and SOVs.
  • Support contract billing functions as needed.
  • Request and upload Certificates of Insurance to compliance platforms.
  • Log and track project change orders.
  • Answer and direct phone calls; support receptionist tasks.
  • Perform clerical duties such as making copies, filing, faxing, creating binders, and general organization.
  • Maintain and update Excel spreadsheets for project tracking and reporting.
  • Digitize handwritten information for use in electronic forms.
  • Complete other related duties as assigned.

Minimum Qualifications

  • High school diploma or equivalent.
  • One year of business school training or relevant administrative experience.
  • Experience in a construction office is preferred but not required.

Knowledge, Skills, And Abilities

  • Knowledge of:
    • Construction contracts and billing procedures
    • General office administration and operations
    • Spelling, grammar, vocabulary, and basic math skills
  • Skills in:
    • Operating computers and using office software applications (Excel, Word, Outlook, Adobe PDF, SharePoint, Teams)
    • Document preparation, recordkeeping, and organizational systems
    • Operating office equipment and creating standardized templates and forms
  • Ability to:
    • Maintain positive working relationships with project managers, electricians, and vendors
    • Consistently demonstrate reliable attendance
    • Provide accurate and responsive administrative support
    • Navigate and utilize online and internal systems including Jonas and EBM
    • Learn new databases and software platforms quickly
Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer.
  • Ability to lift up to 15 pounds
  • Capability to type, handle documents, and use phones regularly

Schedule

  • Full-time (40 hours/week)
  • 8-hour shift, Monday to Friday
