Position Overview
We are seeking a highly organized and proactive Executive Assistant to support our CFO while also playing a key role in coordinating strategic change initiatives. This role requires a strong mix of executive support, project coordination, and change management skills to ensure the smooth execution of high-impact initiatives.

Position Overview
We are seeking a highly organized and proactive Executive Assistant to support our CFO while also playing a key role in coordinating strategic change initiatives. This role requires a strong mix of executive support, project coordination, and change management skills to ensure the smooth execution of high-impact initiatives.
Key Responsibilities
Executive Support:
- Calendar & Travel Management: Maintain the CFO’s calendar, schedule appointments, and coordinate travel arrangements and expense management.
- Meeting Coordination: Plan and organize meetings, including preparing agendas, managing logistics, taking minutes, and tracking follow-ups.
- Document & Presentation Preparation: Draft correspondence, reports, spreadsheets, and presentations to support executive decision-making.
- Other Executive Support: This role will also support other Executives as assigned by CFO on an as needed basis.
- Strategic Planning & Execution: Assist in developing and executing comprehensive change management plans, outlining key steps, timelines, and resource allocation.
- Executive Engagement: Work closely with the CFO and executive leadership team to understand priorities, address concerns, and ensure alignment on key initiatives.
- Communication Management: Working with others to develop clear and effective communication plans to inform stakeholders about strategic changes, their benefits, and implementation timelines.
- Performance Monitoring & Reporting: Track the progress of change initiatives, work with stakeholders to measure impact, and provide regular updates to the executive team.
- Continuous Improvement: Gather feedback and document lessons learned to refine future change management processes and project execution.
- Education: High school diploma, or GED equivalent required. Bachelor’s degree in business administration or related field is preferred.
- Experience: 5+ years of experience in an executive administrative support or project coordinator role.
- Technical skills: Proficient in Microsoft Office Suite (Excel, PowerPoint, Word, etc.).
- Soft skills: Exceptional research, writing, and communication skills. High attention to detail and strong organizational abilities, with the capacity to prioritize multiple responsibilities effectively.
- Interpersonal skills: Strong verbal communication and interpersonal skills to interact with all levels of the organization.
- Change Management: Previous experience with overseeing change initiatives in the workplace. Knowledge of change management principles, methodologies, and adult learning theories.
- Behavioral traits: Ability to influence others and move towards a common vision or goal.
- Organizational Impact: Experience with large-scale organizational change efforts.
- Industry Knowledge: Previous experience in the construction, industrial services, or manufacturing industry.
- Location: Must be able to commute to Long Beach, CA headquarters as needed
- Physical Conditions: Standard office environment with prolonged periods of sitting and computer use. May occasionally require standing or moving between office areas.
- Salary: $130,000-$150,000 per year
