Additionally, this role provides essential behind-the-scenes support for fundraising events, ensuring timeline management, and strategic support that enables successful event execution.
The Marketing & Communications Specialist reports directly to the Executive Director and collaborates closely with the administrative staff. This role serves as a crucial bridge between Fosterful's mission and its public presence, directly impacting:
- Donor Engagement: Creating materials that inspire financial support and strengthen donor relationships
- Community Awareness: Raising the profile of foster care needs and Fosterful's services in the community
- Team Efficiency: Providing clear, consistent internal communications that support program delivery
- Brand Reputation: Serving as a guardian of Fosterful's public image and messaging integrity
- Event Support & Coordination: Providing behind-the-scenes project management and timeline coordination that ensures successful fundraising events
- Strategic Communications: Creating cohesive messaging and materials that support event goals and organizational objectives
Success in this position directly contributes to Fosterful's ability to serve more children and families in the foster care system by expanding our reach, strengthening our supporter base, and enhancing operational effectiveness.
- Create and manage email campaigns using Mailchimp, including newsletters, donor communications, and caregiver resources
- Develop engaging social media content for Facebook, Instagram, and LinkedIn that increases followers and engagement
- Design eye-catching graphics and visuals for all digital and print materials using Canva
- Update and maintain website content using Squarespace to ensure accurate, current information and optimal user experience
- Develop compelling storytelling materials that highlight program impact, client successes, and organizational milestones
- Produce print collateral including business cards, annual reports, brochures, flyers, and event invitations
- Design and create internal documents such as training materials, handbooks, policy documents, and presentation slide decks
- Coordinate the creation and ordering of promotional items including banners, signage, merchandise, and giveaways
- Support public relations efforts through stakeholder communications and community outreach initiatives
- Ensure brand consistency across all materials and platforms
- Create compelling fundraising and outreach campaign materials, including digital and print, that effectively communicate our mission and impact
- Provide behind-the-scenes support for fundraising events through project coordination, timeline management, and materials creation
- Assist with donor stewardship communications to maintain and strengthen supporter relationships
- Track and report on digital communication metrics to measure effectiveness and inform future strategies
- Dedicate approximately 15% of work time (up to 6 hours weekly) to fundraising events support and coordination
- Project Management & Timeline Coordination: Maintain project timelines, track milestone completion, and ensure planning teams stay on schedule for all fundraising events and campaigns
- Event Planning Support: Assist with registration setup, and logistics coordination while supporting lead event coordinators
- Materials Creation & Brand Coordination: Develop all event-related marketing materials including save-the-dates, invitations, programs, signage, social media content, and post-event communications
- Post-Event Follow-up: Coordinate thank-you communications, process attendee feedback surveys, compile event metrics, and support post-event stewardship activities
- Maintain organized digital and physical records for marketing and communications materials
- Provide exceptional customer service to donors, partners, clients and community members
- Contribute to a welcoming office environment by maintaining hospitality standards and guest amenities
- Support the admin team with special projects and tasks as needed
- Create baseline measurements for all digital platforms
- Identify and achieve 3-5 measures of success. For example:
- Increase social media following by 20% across all platforms within 12 months
- Achieve email open rate of 25% and click-through rate of 3% for newsletters and campaigns, when applicable
- Increase website traffic by 15% year-over-year through content updates and SEO improvements
- Generate at least 12 success stories annually for use across communication channels
- Create at least 3 social media posts per week and monitor all comments and direct messages
- Support the achievement of fundraising targets by creating materials for 4 to 5 major campaigns annually
- Assist in maintaining donor retention rate of at least 60% through effective communications
- Successfully execute promotional materials for at least 6 community events annually
- Provide project management support for a minimum of 4 fundraising events/campaigns annually
- Maintain on-time completion of event planning milestones and deliverables
- Successfully coordinate materials creation for all major fundraising events
- Support achievement of event attendance targets through effective promotional materials and communications
- Complete post-event reporting and follow-up communications within 1 week of each event
- Maintain organized event documentation with event milestones completed on schedule utilizing Monday.com board timeline with 100% accuracy
- Maintain a digital asset library with at least 95% of materials properly categorized and accessible
- Respond to internal design and content requests within 48 business hours
- Successfully complete quarterly content calendar planning with 90% on-time execution
- Ensure 100% of new materials adhere to brand guidelines
- Complete quarterly audits of all digital platforms to ensure information accuracy
- Ensure all marketing materials undergo quality review by at least one additional team member before publication
