POSITION: Office Assistant
SCHEDULE: Monday-Thursday (8:00am – 4:30pm; 32 hours per week)
REPORTS TO: Accounting Manager
LOCATION: Walnut Creek, CA
Job Description
The Office Assistant is responsible for ensuring smooth day-to-day operations within our office environment. You will provide administrative support to various departments and assist in maintaining efficient office procedures. The Office Assistant is expected to conduct themselves in a manner consistent with the Company’s core values and its Business Ethics, Employee Conduct and Confidentiality policies.

Job Description
The Office Assistant is responsible for ensuring smooth day-to-day operations within our office environment. You will provide administrative support to various departments and assist in maintaining efficient office procedures. The Office Assistant is expected to conduct themselves in a manner consistent with the Company’s core values and its Business Ethics, Employee Conduct and Confidentiality policies.
General Responsibilities
- Perform general clerical duties, including photocopying, scanning, filing, and mailing documents.
- Answer and direct phone calls in a professional manner, taking messages when necessary.
- Greet visitors and direct them to the appropriate personnel.
- Assist in maintaining office supplies inventory by checking stock levels and placing orders as needed.
- Organize and schedule appointments, meetings, and conferences for management and staff.
- Assist in preparing and distributing company communications, such as memos, emails, and newsletters.
- Maintain electronic and hard copy filing systems, ensuring accuracy and accessibility of documents.
- Assist with data entry tasks, including updating databases and spreadsheets.
- Coordinate with other departments to ensure smooth workflow and communication.
- Handle incoming and outgoing mail and packages, including sorting and distributing accordingly.
- Assist in organizing company events and gatherings.
- Perform other duties as assigned by management to support the overall functioning of the office.
JOB REQUIREMENTS:
- Proven experience as an office assistant or in a similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent communication skills, both verbal and written.
- Strong organizational and time management skills, with the ability to prioritize tasks effectively.
- Attention to detail and accuracy in all work tasks.
- Ability to maintain confidentiality of sensitive information.
- Team player with a positive attitude and willingness to learn.
- Ability to adapt to changing priorities and work well under pressure.
- Knowledge of office equipment, such as printers, photocopiers, etc.
- High comfort level in fast-paced environment.
- Strong desire to meet and achieve department and organization goals.
