The Role
GovExec is seeking an enthusiastic and detail-oriented Event Coordinator to support the planning and execution of events across our publishing portfolio. This role is perfect for someone with a passion for books and live experiences, eager to learn the ins and outs of event planning in the publishing industry. You’ll assist in organizing book launches, author signings, virtual panels, and industry trade shows, working closely with internal teams and external partners. You must live in Pennsylvania and be willing and able to travel to all Philadelphia and Harrisburg events, and sometimes to New York.

Responsibilities
- Support the coordination of live and virtual events.
- Assist with event logistics, including venue research, vendor outreach, scheduling, and shipping materials.
- Book venues, travel, accommodations, and coordinate catering and AV support as needed.
- Update and maintain event databases, guest lists, and RSVP systems.
- Assist with event communications, including invitations, confirmation emails, and follow-up surveys.
- Coordinate the preparation and shipping of event materials, signage, and promotional items.
- Support event setup and breakdown, including on-site or virtual event assistance as needed.
- Provide on-site or virtual event support, including check-in, setup, tech checks, and troubleshooting.
- Maintain event calendars and update internal teams on timelines and deadlines.
- Collect feedback and help compile post-event reports and summaries.
- Collaborate with marketing and publicity teams to ensure brand consistency and promotional support.
- Track and manage budgets, purchase orders, vendor payments, and post-event invoicing.
- Bachelor’s degree in Communications, Marketing, English, or a related field (or equivalent experience).
- 2–4 years of event on-site and planning experience
- Strong organizational and multitasking skills.
- Excellent verbal and written communication.
- Proficiency in Microsoft Office; familiarity with tools like Zoom, Eventbrite, or Canva a plus.
- Eagerness to learn and a positive, team-oriented attitude.
- Willingness to work occasional evenings or weekends for events.
