The Administrative Assistant will provide essential administrative and clerical support to the Engineering Department, assisting in the coordination of day-to-day operations, scheduling, and internal communication. This role supports departmental efficiency by organizing documentation, preparing correspondence, tracking deadlines, and facilitating workflow across engineering staff and projects. The Administrative Assistant will also assist in maintaining records, coordinating meetings, and handling routine inquiries. The ideal candidate will be detail-oriented, highly organized, and capable of supporting a technically focused team in a dynamic public-sector environment.

ACTIVITIES + RESPONSIBILITIES:
- Provide administrative and clerical support to the Engineering Department, including preparing correspondence, meeting materials, reports, and project documentation.
- Organize and maintain department files—both digital and physical—ensuring accessibility and compliance with records retention standards.
- Support scheduling for engineering staff by managing calendars, coordinating internal and external meetings, and assisting with travel arrangements.
- Greet visitors, respond to phone and email inquiries, and direct communications to appropriate team members with professionalism and discretion.
- Assist in the preparation, formatting, and distribution of technical documents such as proposals, transmittals, submittal logs, and meeting agendas.
- Track and process routine administrative tasks such as supply ordering, invoice routing, and document scanning to support a paperless workflow.
- Coordinate meeting logistics, including room setup, virtual conferencing support, and distribution of relevant materials.
- Maintain professional communication with staff, consultants, contractors, and agency partners to support timely project coordination.
- Assist with basic project tracking functions such as updating task logs, organizing project folders, and monitoring deadlines for internal deliverables.
- Prepare and submit expense reports, travel authorizations, and mileage reimbursements in accordance with organizational policies.
- Perform general office support duties as requested to assist the engineering team in achieving operational efficiency.
- Excellent verbal and written communication skills.
- Ability to be both creative and analytical.
- Extremely detail-oriented and accurate.
- Proficiency in Microsoft Office Suite
- Excellent organizational and time-management skills.
- Ability to work independently and collaboratively in a team environment
- High school diploma
- At least two years of related experience required
- Excellent verbal and written communication skills
- Excellent organizational skills and attention to detail
- Excellent time management skills with a proven ability to meet deadlines
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
- Must be able to travel to various project sites.
- Must be able to access and navigate job sites and construction areas.
