Job Summary

We are looking for a detailed-oriented and highly organized Data Coordinator to join our team. We offer paid, on-the-job training to prepare you for success and career progression opportunities. The Data Coordinator is responsible for collecting, processing, verifying, and maintaining telematics data for our service departments. This role plays a critical part in ensuring reliable information is available to improve the customer experience. The role involves regular data entry tasks, requiring attention to detail and accuracy in inputting information into computer systems.

Key Responsibilities

  • Assist in day-to-day monitoring of all machines in Midwest territory via fleet, specifically for past due planned maintenance services and target fault codes.
  • Relay all necessary information to individual store’s service teams in regards to needed services in a timely manner. This includes sending target lists, service requests, and opening work orders.
  • Manage the process for tracking project related data using appropriate software tools and systems.
  • Collect, review, and organize customer and equipment fault code data to identify immediate service needs.
  • Monitor manufacturer warranty timelines and planned maintenance service schedules to flag upcoming or overdue service opportunities.
  • Contact customers proactively by creating automated communication to customers / divisional coordinators via text and email in the Klaviyo and Modern platforms for service needed on their equipment.
  • Monitor completion of requested service and iterate processes as necessary.


Non-Essential Functions:

  • Enter and updates customer contact information into the dealership CRM (Salesforce) & ERP (Intellidealer) system.
  • Provide administrative support by generating reports, organizing data sets, and tracking follow-up outcomes from service departments.
  • Assist in ensuring operational efficiency by streamlining data flow between departments.
  • Support internal teams by providing clean, actionable data lists or plans to facilitate outbound customer communications.
  • Collaborate with customer service teams, service advisors, and warranty teams to ensure service opportunities are not missed.
  • May assist in other related administrative support activities.


Qualifications

  • A college degree in a related field with zero to two years of relevant experience is preferred, but not required.
  • Prior experience working in a service or parts department is a plus.
  • Strong proficiency with Microsoft Excel including the ability to use formulas, pivot tables, and data analysis tools to organize and interpret service-related data is required.
  • Ability to work with large data sets.
  • Proficient with Microsoft Office and the internet is required.
  • Excellent communication and collaboration skills.
  • Excellent time management, prioritization, and organization skills to manage multiple data sources, track service needs, and ensure timely communication with service teams.
