The Executive Coordinator provides high-level support to the executive leadership team by managing calendars, coordinating travel and meetings, preparing documents, and handling confidential communications. This role serves as a key liaison between executives and stakeholders, ensuring smooth day-to-day operations, timely project execution, and professional handling of sensitive information.
Responsibilities
- Provide high-level administrative support to the company's executive leadership team
- Manage complex calendars, schedules, and appointments for executives
- Coordinate meetings, conferences, and travel arrangements, including itineraries and logistics
- Prepare and organize documents, presentations, and reports for executive meetings
- Act as a primary point of contact between executives and internal/external stakeholders
- Screen and prioritize incoming emails, phone calls, and correspondence for executives
- Assist in the preparation and tracking of budgets, expenses, and financial reports
- Maintain confidential and sensitive information with utmost discretion
- Manage and prioritize tasks and projects to ensure deadlines are met
- Organize and maintain executive files, records, and documentation
- Assist in the preparation and distribution of internal and external communications
- Collaborate with other departments to gather information and facilitate cross-functional projects
- Coordinate special events, team-building activities, and corporate functions on and off property
- Manage office supplies, equipment, and inventory to ensure smooth operations
- Handle executive requests and inquiries with professionalism and efficiency
- Assist in the preparation and distribution of board meeting materials
- Help executives stay organized and manage their daily tasks effectively
- Act as a liaison between executives and their direct reports, facilitating communication
- Provide backup support to other administrative staff as needed to ensure seamless operations
- May be assigned other duties as required
- 18 years of age or older
- Eligible to work in the United States
- Ability to work in office, onsite, Monday-Friday
- Intermediate/Highly proficient Word, Excel, PowerPoint, Outlook
- Ability to read, write, speak, and understand the English language, to include documents
- Maintaining confidentiality and high level of attention to detail, required
- Effectively communicate with colleagues and clients, both in-person and through electronic means
- Pass a background check and drug screen
- Must be flexible to work extended hours on occasion to support our field operations
Physical Activity/Working Conditions May Include
- Ability to lift up to 25 pounds
- Position is generally sedentary, sitting for long periods of time
- Be able to hear and respond to the spoken voice and to audible alarms
- Tasks may involve repetitive motions of the arms, wrists, hands and/or fingers
- Specific vision abilities required for this job include: Close vision (clear vision at 20 inches or less); distance vision (clear vision at 20 feet or more); peripheral vision (ability to observe an area that can be seen up and down or to the left and right while eyes are fixed on a given point); depth perception (three-dimensional vision, ability to judge distances and spatial relationships); ability to adjust focus (ability to adjust the eye to bring an object into sharp focus)
