Comprehensive Behavioral Health Center, a company of Porch Light Health is seeking a Full time Administrative Assistant/Office Manager to provide assistance for our Lakewood clinic. Porch Light Health is a local leader in outpatient treatment of Opioid Use Disorders and other addictive disorders. Our staff is passionate about helping other people. We offer Medication Assisted Treatment and behavioral health services. We are looking for people who are willing to work in a fast paced medical environment. This position is responsible for the efficient and professional presentation of the reception area and proper coordination with patients and other clinic guests. This position provides support to staff who provide drug and alcohol assessment, psychosocial, and pharmacological treatment to adult substance abuse clients at CBHC, Inc outpatient clinic in Denver, CO. This is a full-time, front desk/reception/administrative position that checks-in patients, payment collection, schedules and confirms appointments, oversight of supply and building maintenance, as well as other duties as assigned.

- Manage front desk/administrative activities at CBHC, Inc Outpatient Program clinic.
- Ensure front desk activities are scheduled and completed in a smooth and efficient manner.
- Schedule and maintain multiple intake appointments.
- Answer and direct calls from multi-line phone.
- Central Registry activities and support
- Greet patients upon their arrival to the clinic and inform them of any messages or “flags” they may have from other staff members.
- Arrange staff schedules to ensure adequate coverage in the clinic.
- Accurately collect, track and record patient fee payments.
- Collect patient statistical data for reporting purposes.
- Order, maintain, and accurately track expenditures of office and medical supplies.
- Oversee confidential patient information and records.
- Prepare charts for methadone intakes.
- Make purchasing and monitor inventory supplies as directed.
- Maintain all purchase records, invoices, receipts and documentation for monthly review and approval.
- Ensure the clinic’s bills, invoices and requests for payment are paid in a timely manner.
- Provide excellent customer service to internal and external constituents.
- Offer information on program services and respond courteously to queries.
- Property management, such as snow/ice removal.
- Perform other duties as required or assigned by supervisor.
- Fax various forms to other methadone programs and organizations.
- Report any suspicious activity, neglect, or abuse by a patient or staff member to the clinic administrator, executive director, or medical director or appropriate authorities immediately.
- High school diploma or General Education Diploma (GED)
- Experience with administrative or clerical work
- Must demonstrate proven experience in delivering exceptional customer service
- Experience of utilizing Microsoft Word to create documents, tables, mail merge, reports, etc.
- Knowledge utilizing Microsoft Excel to create, revise, update and maintain spreadsheets and macro-enabled reports.
- Experience using Microsoft Outlook to create, send and receive e-mail communication.
- Experience with accurate and timely data entry.
- Multitasking experience is important
Physical
- Frequent sitting at desk or computer while typing, completing paperwork, or meeting with patients.
- Occasional lifting/carrying, paperwork, files, office supplies
- Position requires constant mental alertness, attention to detail, and high degree of accuracy required.
- Must be able to follow oral and written instructions and follow-through on all assignments.
- Must be able to work independently and be able to use sound judgment in critical clinical decisions.
