The Travel Services Coordinator will provide support to CHS Facilities and Departments with travel needs. This role will involve coordinating travel bookings and arrangements in accordance with CHS travel and expense policies, with a focus on cost reduction, quality improvement, and timely delivery across the organization. Additionally, this role will support the CHS Travel Leader with other areas such as backup support, travel profiles and travel portals.

The Travel Services Coordinator will provide support to CHS Facilities and Departments with travel needs. This role will involve coordinating travel bookings and arrangements in accordance with CHS travel and expense policies, with a focus on cost reduction, quality improvement, and timely delivery across the organization. Additionally, this role will support the CHS Travel Leader with other areas such as backup support, travel profiles and travel portals.
Essential Functions
- Serves as the primary point of contact and provide support to all CHS hospitals and internal departments regarding travel-related inquiries and issues. This includes external candidates who travel for interviews and internal Physician travel.
- Coordinates with the travel management company and the CHS department responsible for HR data to resolve issues when travelers are unable to locate their travel profiles. This includes troubleshooting discrepancies, verifying employee information, and ensuring proper synchronization across systems.
- Supports existing Travel Leader in all travel areas as a backup and to help drive improvements and efficiencies in the travel program and expand service offerings
- Provides proactive coordination and dedicated support for travelers when traveling and potential problem solving when travel disruptions or interruptions occur in partnership with the travel management company.
- Collaborate with travel management company, travel vendor portals and concur to support travel activities as assigned. Hold travel vendors accountable through adherences to Service Level Agreements (SLAs), escalating non-compliance issues when necessary and documenting vendor-related problems and follow up to ensure timely resolution.
- Supports Accounts Payable and Finance operations with direct billing, invoicing, vendor payments, department reconciliation, reimbursements, and accurate charges related to travel vendors and contract payment terms.
- Tracks unused air tickets, credits and travel vendor added benefits for usage and compliance. Monitor trends, spend and compliance with company policy.
- Performs other duties as assigned.
- Complies with all policies and standards.
- Associate Degree in Business or equivalent experience
- 2-4 years of travel management experience
- Bachelor's Degree in Business or related field
- 3-6 years of corporate travel experience
