Position Overview
The Event Operations Coordinator is responsible for assisting with the entire Event Operations department organization. The role requires collaboration with the full team to oversee all administrative needs for operations, scheduling, and logistical needs. This position will coordinate and assist as needed in all Safety, Security, Exterior Operations, Transportation, Access and Credentials, to ensure a seamless operation for the entire team. This position reports directly to the Vice President of Event Operations, while working directly with the Exterior Operations Manager, Safety and Security Manager, Event Operations Manager and Credentials and Access Manager. This role is a permanent, full-time position and is required to be in Las Vegas.

Responsibilities
- Support the overall management of the Event Operations Department
- Assist as needed on all administrative tasks within the Event Operations Department including but not limited to schedule management, contracting, invoicing, budget tracking, meeting agendas, meeting minutes and deadline tracking
- Assist managers with creating any necessary RFP’s for Event Operations management companies and necessary vendors
- Develop and implement new tools that enhance communication and lead to a more efficient management plan
- Manage and track the Event Operations department milestones, deliverables, and action items.
- Oversee the Event Operations team onsite needs including but not limited to asset advance, LVGP and F1 credential needs and ordering and tracking all site supplies.
- Perform other administrative related duties as assigned.
- Stay current on the new trends within the F1 demographics specific to onsite event expectations.
- Minimum of 3 years of event/festival industry administrative experience.
- Motivated self-starter who thrives in a deadline-driven environment and has exceptional follow through skills.
- Highly organized with excellent written, verbal, and interpersonal communication skills.
- Ability to prioritize and multi-task in a fast-paced environment.
- Superior organizational and project management skills and an innate ability to anticipate needs of team.
- Ability to adapt to unforeseen circumstances and pivot to address new situations and concerns positively and proactively
- Solid computer/database and clerical skills, Proficient in MS Office products, working knowledge of SmartSheet
- Ability to track, manage and meet budget requirements.
