The CBHC Program Operations Manager is responsible for developing, implementing, and maintaining efficient operations of one or more of the behavioral health clinic office locations and supervising clinic support and office staff. The CBHC Program Operations Manager will provide administrative and managerial support the CBHC Executive Director and Director of Outpatient Programs and directly supervises the administrative staff.

The CBHC Program Operations Manager is responsible for developing, implementing, and maintaining efficient operations of one or more of the behavioral health clinic office locations and supervising clinic support and office staff. The CBHC Program Operations Manager will provide administrative and managerial support the CBHC Executive Director and Director of Outpatient Programs and directly supervises the administrative staff.
- Provides leadership and oversight to the clinic administrative staff; is responsible for hiring, selecting, onboarding, and supervising administrative assistants and other office staff and ensuring shift responsibilities are assigned and completed.
- Oversees and/or coordinates all clinic administrative services, including telecommunications, printing, mail processing, correspondence, access cards, and schedules.
- Coordinates the flow and distribution of work, screens incoming communications and independently prioritizes; refers work to others or self-responds as appropriate, ensuring adequate coverage at all times 24/7/365 (may need to cover front desk/answer phones directly).
- Manages all site-related issues and ensures repairs and maintenance needs are corrected in a timely manner.
- Assists in onboarding new staff by completing onboarding and orientation activities (e.g., ensuring access to the building, obtaining office supplies, or other needs in partnership with other CBHC team members).
- Oversees the record request process to ensure all released records are accurate and complete and are within required timeframes.
- Tracks, monitors, and maintains clinic inspections, audits, certifications, and licenses. Participates in Department of Public Health (DPH) audits and assists with applications for clinic licensure/re-licensure and any Corrective Action Plans as needed.
- Maintains communication with external inspectors to maintain effective building security and operations. Intervenes with any safety issues that arise in the clinic.
- Serves as a resource for clients, families, and outside agencies requesting information, as well as for Board members, community, and professional leaders. Maintains extensive knowledge of both Vinfen and community-based programs in the Merrimack Valley, and more specifically in Lowell.
