We are seeking an experienced and highly motivated Senior Administrative Assistant. This role will be responsible for performing high-level administrative and project coordination. This includes but is not limited to answering phones; scheduling; managing calendars; planning, coordinating and preparing for meetings (audio visual/F&B/calendar notifications/agenda/securing meeting space, etc). This also includes processing expense reports; and maintaining inventory of department supplies. The position also involves ordering and processing game tickets as required, and coordinating project plans, action steps and communication. What You Will Do

  • Communication Management
  • Serve as a point of contact between executives and internal/external stakeholders.
  • Screen and direct phone calls and emails.
  • Draft and proofread communications
  • Meeting and Event Planning
  • Organize internal and external meetings, including logistics and materials.
  • Take and distribute meeting minutes.
  • Plan and coordinate company events or offsites.
  • Provide additional administrative support and general office duties as assigned or to other departments (i.e., Suns Executive Lobby coverage) as needed.
  • Administrative Support
  • Schedule travel, hotel and transportation; process expense reports; assist with presentations; and maintain inventory of department supplies
  • Maintain department files, invoices, certificates, manuals and related documents.
  • Other duties as assigned.
  • Training and back-up for other administrative assistants and receptionist
  • Participation on company committees and/or taking meeting notes as directed
  • Coordination of executive participation at NBA events & meetings
  • Take on special projects and drive them to completion

What We Need From Our Senior Administrative Assistant

  • Proficiency in Microsoft Office Suite and collaboration tools (e.g., Teams, Zoom, Slack).
  • Project Management Tools and Systems (i.e Monday)
  • Strong time management and multitasking abilities.
  • Excellent written and verbal communication.
  • Problem-solving and decision-making skills.
  • Ability to work independently and handle high-pressure situations.
  • Must demonstrate a high level of confidentiality
  • Must be high energy, very detail-oriented, intuitive, a self-starter, diplomatic, have the ability to manage projects, and work with minimal supervision
  • Demonstrate ability to solve problems and prioritize based on organizational experience
  • Excellent interpersonal skills
  • Must be able to appropriately prioritize workload, as well as demonstrate flexibility and poise when responding to unanticipated events
  • Ability to work long hours while standing (game nights) and the ability lift up to 30lbs

Experience/ Education Requirements

  • Required:
    • 5+ Years of experience assisting a Sr. Level Executive
  • Preferred:
    • Experience working with multiple Sr. Level Executives
    • 5+ Year of Experience planning/scheduling across internal & external resources and locations
