Reporting Relationships/Supervisory Responsibilities

This position has no direct reports and is under the supervisor of the Benefits Manager, LOA.

Position Summary

The Temporary HR Benefits - Leave of Absence Administrator (LOA Administrator) will support the Human Resources Leave of Absence department by providing essential administrative and operational support to the HR LOA team, independently managing daily tasks related to employee leaves and compliance tracking. This role requires strong knowledge of Family and Medical Leave Act (FMLA), Americans with Disability Act (ADA), Pregnant Workers Fairness Act (PWFA), Health Care Reform/Affordable Care Act (ACA), Workers' Compensation, and state leave laws, along with sound judgment and decision-making skills. The administrator will ensure regulatory compliance while also maintaining and enhancing leave-related processes and systems.

Accountabilities

All duties listed below are essential unless noted otherwise

Provide administrative support for the LOA function, including processing leave requests, updating systems, maintaining accurate records in ProMedica systems, and assisting with data entry, reporting, audits, and special projects. Review and determine leave eligibility, ensure required documentation is received, and confirm compliance with FMLA, state laws, and company policies. Manage the LOA mailbox and act as a subject matter expert for employee and call center inquiries, providing timely and professional responses. Independently evaluate complex leave situations and recommend resolutions, exercising sound judgment and discretion in accordance with legal and company guidelines while assisting employees with both medical and non-medical leaves. Maintain knowledge of FMLA, ADA, PWFA, state leave laws, and internal policies; coordinate with internal stakeholders such as Workers’ Compensation, unions, payroll, benefits, legal, and employee relations. Determine and communicate leave eligibility and availability for medical and non-medical leaves; advocate for employees and offer creative solutions for complex cases. Generate required leave-related communications and ensure confidentiality and compliance with company policies and applicable federal/state regulations. Escalate sensitive or complex cases to the Benefits Manager, LOA, and perform other duties as assigned.

Attention to detail and high organizational skills. Must be able to handle sensitive, confidential information. Knowledge of Windows, general keyboard and computer skills (Word, Excel). Excellent communication skills- ability to demonstrate empathy, compassion, and a caring approach. Ability to work in a fast paced environment in a team environment, as a remote employee. Knowledge of Union contracts and how they apply to specific leaves.
