Purpose Of The Role
The Contract Manufacturing Manager is responsible for managing relationships with contract manufacturers (co-man) and co-packers, ensuring seamless production and supply chain operations. This role oversees the entire process from contract management to purchase order (PO) issuance, order calculations, shipment tracking, and import/export compliance. The ideal candidate will have strong analytical skills, attention to detail, and the ability to coordinate multiple stakeholders to ensure on-time delivery and cost efficiency.

Purpose Of The Role
The Contract Manufacturing Manager is responsible for managing relationships with contract manufacturers (co-man) and co-packers, ensuring seamless production and supply chain operations. This role oversees the entire process from contract management to purchase order (PO) issuance, order calculations, shipment tracking, and import/export compliance. The ideal candidate will have strong analytical skills, attention to detail, and the ability to coordinate multiple stakeholders to ensure on-time delivery and cost efficiency.
Key Responsibilities
- Contract & Vendor Management
- Manage and negotiate agreements with contract manufacturers and co-packers, ensuring compliance with company standards and cost-effectiveness.
- Monitor vendor performance, ensuring adherence to quality, pricing, and delivery terms.
- Work closely with internal teams (procurement, planning, and quality assurance) to evaluate contract manufacturers’ capabilities and performance.
- Maintain and update contract terms, tracking expiration dates, renewal opportunities, and performance clauses.
- Order Calculation & Purchase Order Management
- Calculate order requirements for contract manufacturers and co-packers based on sales forecasts, inventory levels, and production planning.
- Ensure optimal order quantities to maintain inventory targets while minimizing excess stock.
- Generate, issue, and track purchase orders (POs) to contract manufacturers and co-packers.
- Production & Shipment Coordination
- Act as the primary point of contact between the company and contract manufacturers, ensuring production timelines are met.
- Monitor order status, production progress, and shipment schedules, providing timely updates to relevant stakeholders.
- Address and resolve any production or logistical issues that may arise.
- Import & Export Management
- Handle the export and import process for finished goods, ensuring compliance with international trade regulations and company policies.
- Work with freight forwarders, customs brokers, and logistics providers to ensure smooth shipments and timely deliveries.
- Maintain accurate import/export documentation, ensuring compliance with customs requirements and trade agreements.
- Cross-Functional Collaboration & Reporting
- Collaborate with demand planning, supply chain, and sales teams to align production and order placement with business needs.
- Provide regular reporting on co-manufacturing performance, including fulfillment rates, lead times, and cost variances.
- Identify opportunities for process improvements and cost savings within contract manufacturing and co-packing operations.
- Compliance & Risk Management
- Ensure all co-manufacturers and co-packers comply with food safety, regulatory, and quality assurance requirements.
- Identify risks in the supply chain and develop contingency plans to mitigate potential disruptions.
- Communicates effectively : Regularly communicate with internal and external stakeholders to understand and meet their needs. Develop clear and concise reports and presentations for senior management.
- Relationship Building: Foster a collaborative environment within the team and with other departments. Engage with external partners to build rapport and strong business relationships.
- Strategic Thinking: Continually assess the procurement landscape to identify new opportunities and risks. Use data-driven insights to inform decision-making and strategy development.

Requirements:
- Educational Background: A bachelor’s degree in business administration, supply chain management, or a related field. Advanced degrees or certifications in procurement or supply chain management are highly desirable. Certification in supply chain or procurement (e.g. APICS, CPSM) is a plus.
- Professional Experience: Minimum of 3 years of experience in procurement or supply chain management, procurement, contract manufacturing, production planning, imports and exports. Experience in food and beverages or a similar CPG manufacturing or related industry is preferred.
- Strategic Procurement Skills: Proven ability to develop and execute effective co-manufacturers and co-packing operations. Strong experience in supplier negotiations and contract management.
- Financial Acumen: Solid understanding of budgeting, cost management, and financial analysis as they relate to outsourcing manufacturing processes.
- Leadership Qualities: Demonstrated leadership skills with the ability to mentor, inspire, and develop team members. Experience in leading cross-functional projects and teams.
- Analytical and Problem-Solving Skills: Strong analytical abilities to interpret complex data and market trends. Proficient in problem-solving and decision-making.
- Technology Proficiency: Experience with procurement software and tools. Advanced skills in Microsoft Office Suite, particularly Excel. Familiar with ERP systems (e.g. Sage X3) and demand planning tools (e.g. Avercast).
- Communication Skills: Excellent verbal and written communication skills, with the ability to effectively communicate with all levels of the organization and external partners.
- Adaptability and Flexibility: Ability to adapt to changing market conditions and organizational needs. Willingness to travel as required for the role. Knowledge of global trade regulations and logistics’ best practices preferred.
The Procurement Operations Manager may be required to perform the following physical tasks:
- Standing and walking for extended periods while overseeing distribution activities.
- Occasional lifting and moving of inventory or supplies, which could include lifting boxes or packages weighing up to 20 pounds.
- Reaching, bending, and stooping to access and inspect items in storage or during the packing process.
- Operating office equipment and computer systems, including keyboards and monitors.
- Frequent travel to meet suppliers, attend industry events, and visit company sites to oversee procurement operations. Ability to adapt to different environments and maintain productivity while traveling.
