The candidate must reside within the following county(s) within Region 8: Bexar, Kerr, Bandera, Gillespie, Kendall, Comal, Guadalupe, Frio, La Salle, Atascosa, Wilson, Karnes, Victoria, De Witt, Lavaca, Calhoun, Jackson, Val Verde, Edwards, Real, Kinney, Uvalde, Medina, Maverick, Zavala and Dimmit County.

Primary Function/Responsibilty

The position provides administrative support to unit supervisor and staff. The position interacts routinely with Texas Department of Family and Protective Services staff and the general public.

Essential Duties And Responsibilities

  • Performs data entry into IMPACT and other electronic programs and systems.
  • Prepares and maintains statistical reports, case control systems, case records and related files for the unit.
  • Types correspondence, forms narratives, meeting notes, performance evaluations, and other documents to support work of the unit and files related documents.
  • Performs other duties as assigned and required to maintain unit operations.
  • Promotes and demonstrates appropriate respect for cultural diversity among coworkers and all work-related contacts.
  • Attends work regularly in accordance with agency leave policy.
  • Perform other related duties as assigned.

Daycare –

  • Manages the Belong Daycare Mailbox, processing incoming daycare requests and verifying the inclusion of the required 1809 form and employment verification.
  • Ensures accurate and complete data entry of daycare requests, including daycare and caregiver information, within IMPACT.
  • Coordinates the daycare waiver process by preparing and submitting waiver packages, along with other necessary documentation, to the Vice President of Placement for approval and subsequently to the DFPS State Office Waiver mailbox.
  • Submits completed daycare requests in IMPACT to the DFPS daycare program director.
  • Forwards the 1809 form and employment verification via email to the DFPS Region 8 daycare mailbox for assignment and processing.

ICPC –

  • Oversees the ICPC Mailbox, ensuring efficient processing of all incoming and outgoing ICPC requests.
  • Proactively checks and manages their IMPACT workload for new ICPC case assignments.
  • Explains the ICPC process effectively to potential placement resources.
  • Coordinates the completion of required ICPC paperwork by sending it to placement resources.
  • Executes Child Abuse and Neglect background checks, criminal history checks, and requests fingerprinting as necessary.
  • Routes completed caretaker documents and ICPC packets for parent/relative/kinship home studies to the Belong Home Study Requests mailbox.
  • Transmits ICPC packets for Foster/Adoption requests to SJRC Texas CPA.
  • Collaborates with SJRC Texas CPA staff during monthly ICPC Status staffings to track home study progress and verify caretakers.
  • Documents the status of ICPC requests through memos uploaded in IMPACT.
  • Ensures all completed home studies and supporting documents are uploaded into Impact.
  • Tracks and manages data related to incoming/outgoing ICPC requests and courtesy supervision assignments using SharePoint.
  • Facilitates courtesy supervision by assigning appropriate personnel for out-of-state placements within the Belong catchment area.
  • Communicates regularly with the DFPS Regional ICPC Coordinator, State Office ICPC specialists, Belong and SJRC Texas staff, and community providers.

Qualifications

Required:

  • High School Diploma or G.E.D. Certification.
  • 1+ years of related experience in Administration or Human Resources field.

Preferred

  • Associates Degree in Accounting, Business Management, or related field.
  • Experience using Microsoft software.
  • Experience working in an office supporting several staff members.

Certifications/Licenses/Registrations

  • Valid Texas Driver’s License, good driving record, ability to provide own transportation and proof of current automobile insurance.

Physical/Mental Requirements And Information

  • Body mobility to stoop, kneel, bend, reach, walk and walk briskly in order to interact with and monitor children.
  • Stamina to work long days and drive long distances.
  • Moderate to heavy lifting up to 60 pounds.
  • Must have the ability to communicate both verbally and in writing.
  • Must have the ability to give and receive verbal and written instructions (with or without hearing aids).
  • Must have the ability to read fine print, have sustained vision, and peripheral vision (with or without glasses).
  • Environment requires dexterity to remain calm and adapt to fast paced and emotional environments consisting of children with moderate to severe emotional and psychological needs.
  • Home-like settings with varying moderate to high degrees of background noise.
  • Light and ventilation are found in a typical home setting.
  • Campuses are smoke-free, except on permitted campuses in designated areas.
  • Possible injury when lifting or moving if employee fails to use proper body mechanics, or if proper techniques are not used.
