The Girl Scouts of Kentucky's Wilderness Road is looking for an Executive Assistant & HR Coordinator to support our CEO while handling key HR functions like benefits enrollment and employee file management.

The Girl Scouts of Kentucky's Wilderness Road is looking for an Executive Assistant & HR Coordinator to support our CEO while handling key HR functions like benefits enrollment and employee file management.
Responsibilities
CEO and Board Member Support & Ad-hoc Tasks (50%)
- Manage the CEO’s calendar, including scheduling meetings, travel, and logistics.
- Track meeting outcomes and follow up on action items, including donor cultivation and stewardship tasks.
- Maintain confidential records related to CEO and board communications.
- Assist with onboarding and annual follow-up tasks for new and returning board members.
- Draft professional correspondence, reports, meeting minutes, and presentations.
- Manage board communication tools (e.g. shared drives, newsletters) to ensure streamlined information flow.
- Coordinate travel arrangements for senior leadership.
- Coordinate local and national travel for board members, national delegates, and other volunteers traveling on behalf of Council governance.
- Assist with special projects and handle ad-hoc requests with a high degree of accuracy.
- Coordinate posting position vacancies, recruiting and interviewing candidates, and hiring Council staff.
- Oversee benefits enrollment and termination, ensuring timely and accurate updates with vendors.
- Coordinate payroll withholdings, verifying deductions and ensuring compliance with company policies.
- Process expense reports for staff, ensuring adherence to organizational policies.
- Assist managers in locating HR resources, such as policies, performance review tools, and training materials.
- Maintain employee records and files, ensuring compliance with recordkeeping regulations.
- Update and enforce onboarding and offboarding procedures, ensuring smooth transitions for new hires and departing employees.
- Serve as the primary liaison for benefits vendors, resolving employee questions and handling issues promptly.
- Support compliance with employment laws, policies, and HR best practices.
