Executive Assistant
This position provides high-level executive administrative support to three (3) members of Park Place’s leadership team: Senior Vice President, Global Sales & Marketing, Chief Revenue Officer and Senior Vice President, General Counsel. We’re looking for a professional, passionate, and enterprising problem solver who can simultaneously keep many balls in the air, while flawlessly managing busy calendars, planning, executing exciting events and meetings, and everything in between.

Executive Assistant
This position provides high-level executive administrative support to three (3) members of Park Place’s leadership team: Senior Vice President, Global Sales & Marketing, Chief Revenue Officer and Senior Vice President, General Counsel. We’re looking for a professional, passionate, and enterprising problem solver who can simultaneously keep many balls in the air, while flawlessly managing busy calendars, planning, executing exciting events and meetings, and everything in between.
What You’ll Be Doing
- Calendar management: Proactively coordinate, schedule and prioritize appointments, meetings, events and travel
- Coordinate all domestic and international travel and business meeting arrangements, preparing detailed travel itineraries
- Complete and submit expense reports via Concur
- Expense report review & approval by proxy for executive’s direct reports
- Track and manage Sales T&E budget
- Manage department credit cards
- Independently compose presentations, reports, correspondence and proof/edit other documents as needed
- Provide support for internal team and customer meetings
- Coordinate and manage catering for meetings and events
- Sales SPIFF management & execution
- Coordinate and execute employee and customer support – gifting and donations
- Coordinate and execute customer & employee suite ticket distribution for professional sports games, concerts and other special events
- Meeting and event planning ranging from large-scale sales kickoffs (400 attendees) to smaller- scale customer events (20 attendees)
- Execute and distribute all legal, finance, Real Estate & Workplace Services (REWS) signature requests
- Coordinate required notarizations
- Execute apostilles with Ohio Secretary of State
- Update legal invoice tracking dashboard monthly
- Provides coverage when the Corporate Travel Manager is out of the office, booking flights, hotels and rental cars domestically and internationally
- Maintains inventory and stocks executive office and kitchen supplies
- All other duties as assigned
- 5-7 years experience in the position or in a related field
- Experience supporting multiple executive level positions with a calm approach, a flexible and proactive working style, and ability to adapt to different situations and employees at all levels of the company
- Strong written and oral communication skills
- Proficient computer and research skills including strong working knowledge of Concur and all Microsoft 360 apps
- High-level planning and project management skills including the ability to prioritize and execute multiple tasks expeditiously
- Excel at working in a fast-paced environment
- A self-starter, with the ability to work independently with minimal guidance
- Anticipate opportunities and proactively implement creative solutions
- Must have highest level of discretion when managing sensitive and confidential information
- Experienced event planner for large- and small-scale meetings & events
- Experience supporting fast-paced, sales driven organizations and/or legal departments
- Current Ohio Notary
- Bachelor’s degree or equivalent work experience required
- 10-15%
