Position Overview

The Sales Receptionist position answers a multi-line telephone system, calls current and prospective customers for orders/reorders, and greets visitors in a timely, pleasant, and professional manner. The Sales Receptionist is responsible for ensuring a positive guest experience at the first point of contact and for directing customers and vendors to the appropriate representative or department.

Primary Responsibilities

  • Greet visitors, determine their needs, and contact the appropriate department for visitor escort.
  • Operate a multi-line phone, including answering all incoming calls in a prompt, polite, professional manner, and transfer calls to the appropriate person or department quickly.
  • Minimize the time callers are on hold and check back with them frequently to ensure they wish to continue holding.
  • Take detailed messages when calls cannot be completed; including caller’s name, telephone number, time of call, and information requested, and deliver to the appropriate party in a timely manner.
  • Follow-up on leads for wholesale business using the company CRM system (ACT).
  • Call current customers for reorders and record calls in CRM.
  • Accurately enter received orders into the ordering processing system (Sage).
  • Assist walk-in job applicants with completing applications on a tablet and answering basic questions, seeking HR assistance when needed.
  • Scan and save documents to the company server for A/P (always) and A/R (in the busy season), with miscellaneous scanning for management when needed.
  • Stuff A/R invoices and A/P checks into envelopes and add postage for mailing.
  • Open and distribute mail.
  • Perform work in Excel as needed to assist Finance with projects.
  • Help prepare pick tickets for shipping (stapling the 2 copies together, sorting Ship With Invoice ones first, etc.).
  • Develop a full working knowledge of the company's business to respond to callers with general inquiries.
  • Answer questions that come through the company's website chat function.
  • Oversee the visitor sign-in and security process.
  • Maintain the conference room reservation schedule.
  • Maintain a professional personal appearance.
  • Complete required training assigned through the company training process.
  • Adhere to a consistent and reliable work schedule.
  • Demonstrate ethical business practices and integrity in all interactions to uphold Hammond's brand.
  • Effectively perform duties and responsibilities in a safe manner.
  • Perform other duties as assigned.

Qualifications

  • High school diploma or equivalent required; Associate's degree preferred.
  • Bilingual (English and Spanish)
  • Previous experience in a receptionist or customer service role required (minimum 2 years).
  • Proficiency with multi-line phone systems.
  • Strong communication and interpersonal skills.
  • Ability to handle a fast-paced environment and prioritize tasks.
  • Experience with CRM systems and order processing systems, preferably ACT and Sage.
  • Basic computer skills, including proficiency with Microsoft Office Suite.
  • Ability to maintain a professional appearance and demeanor.
  • Strong organizational skills and attention to detail.
  • Ability to work independently and as part of a team.
  • Reliable and punctual with a strong work ethic.
  • Willingness to complete required training and adhere to company policies.
