Essential Job Duties
- Answer and triage incoming phone calls for multiple clinics; respond to inquiries or route as appropriate.
- Monitor clinic email inboxes; respond to routine messages and escalate more complex inquiries.
- Follow up on voicemails and email threads to ensure timely resolution.
- Provide accurate information about services, appointments, results, and processes.
- Coordinate and schedule patient appointments as needed.
- Update EMR and communication logs with all correspondence and case updates.
- Serve as a communication bridge between patients, clients, and healthcare providers.
- Ensure interactions are handled professionally and in a manner that maintains patient privacy and confidentiality.
- Support ongoing improvement in patient satisfaction by facilitating timely, clear, and courteous communication.
- Adapt communication style to meet diverse patient needs, ensuring accessibility and comfort.
- Occasionally assist with backup or support of clinical services, as appropriate to experience and credentials.
- Perform other administrative duties as assigned.
Required Licenses and Certifications:
- None required.
- Preferred: Current Medical Assistant Certification or X-ray Technician License. This position may occasionally be called upon to support or back up clinical services.
- High School Diploma, GED, or suitable equivalent required.
- College degree in Healthcare Administration or related field preferred.
- Prior experience in a healthcare or occupational health setting preferred.
- Familiarity with EMRs and healthcare communication workflows.
- Strong interpersonal and communication skills, both verbal and written.
- Excellent customer service orientation with a professional and empathetic demeanor.
- Proficient in Microsoft Office Suite and healthcare software.
- Ability to manage sensitive information with discretion and uphold strict confidentiality.
- Skilled at multitasking, prioritizing, and working both independently and collaboratively.
This position is primarily sedentary and requires the ability to:
- Sit for extended periods using a computer and telephone.
- Occasionally stand, walk, bend, and reach to retrieve or file documents.
- Perform repetitive tasks such as typing or mouse use.
- Occasionally lift and carry objects up to 15 pounds.
- Maintain visual acuity to review records and input accurate data.
- Communicate clearly by telephone and email.
$23-$25/hour
