Overview

The Program Manager II - Exhibits is responsible for leading the planning, execution, and evolution of the exhibit hall experience at ASPS’s Annual Scientific Meeting (PSTM). This individual manages all logistical aspects of the exhibit floor while actively shaping engagement strategies that increase traffic, enhance corporate visibility, and create meaningful, interactive opportunities for attendees and partners alike.

The Program Manager II - Exhibits is an agile project leader and strategic thinker with a passion for exhibit design, behavioral trends, and activation strategy. This individual must understand the shifting expectations of both exhibitors and healthcare professionals and deliver bold, effective solutions that align with ASPS’s brand, financial goals, and stakeholder needs.

Supervises: None

Location: Chicagoland area

Travel: 2-3 wks/yr

What You Will Do

Exhibit Experience Strategy

  • Serve as the lead architect of the PSTM exhibit hall experience, integrating best practices in spatial design, traffic generation, attendee flow, and brand storytelling.
  • Identify and implement innovative activations, lounge concepts, demo areas, and digital enhancements that create memorable experiences and drive ROI for exhibitors.
  • Collaborate with Education, Meetings, and Marketing teams to align the exhibit hall with clinical education themes and Society initiatives.
  • Maintain direct communication with current and prospective exhibitors before, during, and after the event, ensuring exceptional service and responsiveness.
  • Support the Exhibitor Advisory Council (EAC) and participate in its engagement and planning efforts.


Project and Logistics Management

  • Own the full project lifecycle for all PSTM exhibit operations, including floor plan design (via A2Z), exhibitor applications and space selection, exhibitor setup, service kit development, contractor management, and onsite delivery.
  • Collaborate with the Director of Development on exhibit hall budget planning and revenue goal setting; monitor progress toward financial targets, provide input on pricing strategies and space allocations, and recommend adjustments to maximize exhibitor value and profitability.
  • Maintain and apply working knowledge of best practices and compliance requirements (e.g. ADA, IAEE, public safety, union labor rules, etc).
  • Actively evaluate and implement innovative solutions, such as Artificial Intelligence, that improve workflow efficiency internal collaboration across development functions.
  • Develop and manage the exhibitor resource center, pre-show communication timeline, and on-site exhibitor support systems.
  • Partner with Meetings and Corporate Development team on exhibit-related sponsorship activations, product showcases, and branding fulfillment within and outside of the exhibit hall.
  • Collaborate with appropriate stakeholders to coordinate shared physical space and logistics.
  • Oversee third-party vendors (general service contractor, electrical, security, AV, internet) including RFPs, contracts, and onsite operations.


Partner Engagement and Support

  • Negotiate and manage contracts with venue and service providers, ensuring compliance with contractual terms, budget limitations, and quality expectations.
  • Ensure effective vendor performance through regular evaluations and post-event debriefs.
  • Develop and track meetings budgets in collaboration with the Director; reconcile invoices and resolve billing disputes.
  • Partner with the Corporate Development team on exhibit-related sponsorship activations, product showcases, and branding fulfillment.
  • Assist the Director in maintaining and tracking the Exhibitor Priority Points System, ensuring accuracy, transparency, and timely updates in accordance with ASPS policies and industry best practices.


Performance and Reporting

  • Foster a collaborative culture of accountability, innovation, and member-centered service.
  • Ensure team goals align with broader divisional and organizational objectives.
  • Support the Director in cultivating a collaborative, high-performance culture in the Development team.
  • Track, analyze, and report on key exhibit hall metrics including traffic patterns, satisfaction scores, revenue performance, and activation success.
  • Maintain historical data and post-event reports to guide future planning and strategic decision-making.
  • Continuously monitor and evaluate emerging trends in exhibit hall design, attendee engagement, and experiential marketing—applying insights to elevate ASPS’s exhibit strategy and ensure alignment with evolving stakeholder expectations and industry standards.


What You Will Need

Education: Bachelor’s degree in Event Management, Marketing, Design, Business, or a related field preferred.

Experience: 5+ years of exhibit or event management experience; experience within the healthcare space is a plus.

Proven experience designing experiential exhibit environments, managing complex logistics, and integrating sponsor activations.

Certifications: CEM or CMP preferred.
