This role is fully remote with the occasional day weekly or bi-weekly in the office.
You must be located in the South Florida area.

Position Overview
This position will become part of the project and support team for our Founder and Chairman. You will be his head executive assistant you’ll coordinate administrative support tasks such as travel, calendar management, and managing meeting requests as well as coordinate board meetings, events, and handle projects that may include his personal foundation, For A Bright Future Foundation. You will also be coordinating personal tasks as well to make the Chairman as efficient as possible. We are an operationally led firm and culture that applies our unique operational knowledge into how we operate the firm and manage our investments. What sets us apart is that the same entrepreneurial spirit and energy that made us successful in an operational role should translate to building a different kind of investment firm
About You
You’ve been an assistant to a senior leader of a company, so you’re comfortable working in a dynamic, fast-paced environment. Your past roles have exposed you to or have required you to be responsible for project management. You’ve had to make tough judgment calls in a variety of situations and can quickly understand your Executive’s needs and preferences well enough to comfortably make decisions autonomously and anticipate how to provide support. You’re a forward-looking thinker, who actively seeks opportunities, proactively proposes solutions, and consistently meets deadlines. You’re a resourceful team player but also enjoy working independently at times. You have a high attention to detail, accuracy and have a strong and extensive background in facilities, office and executive administration. You like being committed to a team and understand that this requires a level of effort that comes with the role. While we work hard and strive for performance, we understand that we control our time through our preparation and attention to detail. This role requires 24/7 availability even though it often won’t be needed.

Responsibilities
Administrative Responsibilities:
- Anticipate Needs and Preferences: We need an individual who has the exceptional ability to anticipate the needs and preferences of the Executive. This means not constantly relying on him for direction but having the foresight to predict and plan.
- Compose, prepare or process correspondence and various documents that are often confidential, which require a sense of discretion and protection to the organization.
- Assist in preparation of Microsoft Office365 based deliverables, including processing changes and final format of various documents in Word, PowerPoint, and Excel.
- Research, prioritize, and follow up on incoming issues and concerns addressed to the team.
- Provide sophisticated calendar management: Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements. Keeping Executive updated on upcoming meetings, events or changes to his schedule.
- Serve as the administrative liaison to others in the Company and with clients.
- Travel Arrangements: From booking flights and hotels to sorting out ground transport, airport clue meeting room bookings and facilitating, ensure Executive has complete and updated itinerary prior to travel, continue to monitor travel arrangements for last minute changes - ensuring CEO is updated to all changes.
- Analyzes project standards, methodologies, and impacts with detailed Project Plans, which will include all required activities, tasks, issues, and resources requirements, leading to a successful and timely project completion.
- Provides regular project status reports as required, working and communicating with project team members as needed.
- Develop and report appropriate project metrics.
- Work with operations leadership to determine, analyze, and formulate good practices, workflow processes, issues, and potential solutions on projects.
- The nature of the position will require 24x7 Availability.
- You must be willing to travel, both in the US and internationally, to conferences, business events and other industry events as needed for event support.
- Significant executive support experience, including supporting C-level executives, and a minimum of 7 years’ experience working with C-level executive experience in a fast-paced environment.
- Have a bachelor’s degree in business administration or finance, preferred.
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- Very strong interpersonal skills and the ability to build relationships with staff, board members, external partners and investors.
- Expert level written and verbal communication skills.
- Highly tech savvy and exceptional proficiency in Microsoft Office365.
