Key Responsibilities
- Serve as the primary point of contact for residents, coaches, vendors, and internal staff, delivering accurate information and a friendly, responsive experience.
- Coordinate program logistics, including athletic field scheduling, team rosters, and league documentation.
- Manage the online registration system by inputting activities, maintaining accurate participant data, and ensuring up-to-date program information.
- Create and coordinate promotional materials-including flyers, digital graphics, and registration content-using standard design tools and templates or collaborating with a graphic designer.
- Update and maintain webpages for sports and other programs on the City website.
- Assist with bookkeeping tasks, including managing the general ledger system and processing refunds.
- Track and process payments using the City's financial system, issue customer refunds and transfers, and generate routine financial reports.
- Request and manage quotes for equipment, supplies, and uniforms in accordance with City purchasing protocols.
- Support team operations including correspondence, meeting scheduling, recordkeeping, and internal communication.
- High School Diploma or GED required.
- At least two (2) years of administrative support or customer service experience. Experience with recreation programs or sports leagues is a plus.
- Experience with recreation software systems (e.g., ActiveNet, CivicRec)
- Exceptional customer service and interpersonal communication skills.
- Excellent organizational and multitasking abilities; thrives with multiple deadlines.
- Proficient in Microsoft Office Suite, data entry, and basic spreadsheet creation.
- Able to work independently and collaboratively in a high-volume office environment.
- Understands and follows established departmental procedures and City protocols.
- Capable of handling confidential information with discretion and professionalism.
