Position Overview

The Office Coordinator is responsible for supporting daily office operations with a range of administrative duties, ensuring the office runs smoothly and efficiently. It is also important to work well in a team, understanding the needs of others to support colleagues and projects the company is working on. The position will report to the Executive Assistant to the CHRO, GC and CFO and is based in the CSWI corporate office in Dallas, Texas. Normal working hours are 8:00am to 5:00pm, but flexibility is helpful for occasional events.

Responsibilities

  • Cover receptionist duties and maintain the front lobby area, kitchen, and general office space as an organized, clean space
  • Greet visitors and employees, ensuring a positive and professional image of the company is maintained. Maintain visitor list.
  • Manage conference room schedules and organize meeting rooms.
  • Monitor inventory and order office and breakroom supplies to maintain stock.
  • Submit work orders for repairs for the general office space.
  • Act as a liaison to outside office vendors, handling scheduling, work orders and contract maintenance.
  • Create process documents and an effective filing system for record-keeping.
  • Prepare outgoing shipping and mail.
  • Set-up new hires: arrange their seating space, outfit them in company gear, and get them situated with their hardware and with our Human Resources team.
  • Work with building management to maintain employee access, enforce city and building safety regulations.
  • Support Executive Assistants and complete various administrative tasks.
  • Support office events and other CSWI initiatives as requested.
  • Maintain clear and efficient communication across the office.
  • Other duties as assigned.

Experience And Requirements

  • College degree preferred or equivalent combination of experience, skills training and education considered.
  • 2+ years of administrative, facilities, or office experience, preference on exposure to a busy environment.
  • Self-motivated: always looking for ways to do something better; forward-thinking planner.
  • Attention to detail is an absolute must.
  • Ability to move about, bend, squat, and lift up to 30 pounds.
  • Strong written and verbal communication skills.
  • Ability to work on multiple tasks simultaneously.
  • Excellent organization and time management skills.
  • Personable, positive attitude.
  • Strong work ethic, with flexibility to support requests outside of considered job scope.
  • Proficient with Microsoft Office applications.
