Scheduling Supervisor

The Scheduling Supervisor is a crucial leadership role within the Registrar's Office, responsible for leading the scheduling team and providing support to ensure the accurate, efficient, and strategic development and maintenance of the university's course schedule. The Scheduling Supervisor represents the team by collaborating effectively with other departments, including but not limited to Student Services, Faculty Affairs, individual academic departments, and IT. Functions include addressing mid-level scheduling issues, supporting the execution of the strategic goals and objectives of the Registrar's Office related to scheduling, and supervising and managing the scheduling team. The Scheduling Supervisor's priority is to ensure that the scheduling team provides the utmost support in creating and managing the course schedule to meet the needs of students and faculty. Under the direction of the Registrar, the Scheduling Supervisor proactively identifies the strengths and areas of opportunities within the team, addresses issues based on team members' activities, reviews performance measurements, ensures schedule accuracy and efficiency, and provides resources to support the team. In addition, the Scheduling Supervisor leads the team to support the initiatives directed by the Registrar. The Scheduling Supervisor proactively and enthusiastically contributes to the desired university culture of accuracy, efficiency, and supportiveness in scheduling, and the position provides support to the Registrar's Office with projects, schedule support, and scheduling management matters as assigned.

Essential Duties And Responsibilities

  • Supervise the day-to-day operations and their initiatives to assist the scheduling team in the development and maintenance of the course schedule.
  • Serve as the supervisory bridge between the scheduling team and the Registrar.
  • Ensure the timely and accurate completion of standard scheduling processes including, but not limited to, the initial schedule build, room assignments, and schedule adjustments.
  • Provide coaching and development to the members of the scheduling team to effectively support their respective areas
  • Collaborate with other departments in order to provide proper guidance and directions to the scheduling team and ensure optimal support for an accurate and efficient course schedule.
  • Ensure timely and accurate creation and maintenance of the course schedule by the team to maintain data integrity, optimize resource utilization, and meet student and faculty needs.
  • Set expectations for senior team members to provide training and support to other members of the scheduling team regarding scheduling software, policies, and best practices.
  • Support the scheduling team and other departments to resolve schedule-related issues and conflicts and distribute to appropriate personnel.
  • Review and evaluate areas of opportunities for Schedule Management, including its policies and procedures, and provide suggestions to the University Registrar to maintain seamless processes for the team.
  • Provide supervisory support for employee-related concerns including: Time cards, Onboarding and training and Performance evaluations

Requirements

  • Bachelor's Degree in a relevant field (Master’s degree preferred).
  • At least 2-3 years experience in a records-related role within post-secondary education, including 1 year in a leadership capacity required.
  • Previous experience with Student Information Systems (SIS) preferred.
