Description

The first impression matters, and the Legal Assistant is the first face our clients see when they walk into our firm. This role combines receptionist duties with essential administrative support to ensure a seamless client experience. Responsibilities include:

Administrative Support For The Attorney And Case Management Team

  • Scheduling and completing client disbursements.
  • Coordinating client meetings and following up on client releases.

Facilitating Client Disbursements

  • Collaborating with the Attorney and Accounting team to ensure timely processing.

Insurance Adjuster Communication

  • Proactively confirm , ensure receipt, and obtain initial offers for attorney review.

Case File Coordination

  • Partnering with Case Managers to gather all bills and records related to a client’s case.

Medical Records Management

  • Communicating with medical providers to retrieve records and bills efficiently.

Correspondence

  • Generating and sending required correspondence, such as requests for medical records and bills, and conducting follow-ups.

Insurance Coordination

  • Contacting insurance companies to verify declaration pages, policy limits, and demand receipts.
  • Setting up initial insurance claims and sending letters of representation.

Receptionist Duties

  • Greeting clients and ensuring a welcoming atmosphere.
  • Answering phones and emails as needed.

The Legal Assistant role is primarily administrative but crucial to maintaining excellent client service and achieving case management objectives.

Requirements

  • High School diploma or equivalent required; Associate’s degree preferred.
  • At least one year of relevant experience in a customer-centric role; experience in a legal environment preferred.
  • Proficiency in Microsoft Office; knowledge of Filevine case management software is highly desirable.
  • Familiarity with basic medical records and terminology strongly preferred.
  • Must obtain Notary certification within 30 days of hire, if not already certified.
  • In-office position (Monday through Friday); remote work is not available.
  • Demonstrates attention to detail, commitment to client care, integrity, and confidentiality.
