Job Summary

The Parish Receptionist fulfills the mission of the St. Louis Catholic Church as a hospitable point of contact for parishioners and visitors. The Parish Receptionist handles inquiries, maintains sacramental records, and works with the Parish Office Manager in planning and coordinating various parish activities. The position is hired and evaluated by the Parish Office Manager and the Head of Operations.

Ministerial Character

The Pastor is the visible principle and foundation of unity in the parish of St Louis Catholic Church which the Bishop has entrusted to him. He makes Christ’s mission present and enduring in the parish. In order to fulfill his mission, the Pastor employs suitable, chosen collaborators (clerics, religious, or lay people). He shares with them his mission and entrusts various responsibilities to them.

Positions employed at St Louis Catholic Church help to extend the ministry of the Pastor in particular ways as outlined in the job description. Therefore, the employee in this position is closely connected to and assists the Pastor in the performance of his ministry and thereby engages in ministry for the Church.

  • Support and uphold the philosophy of Catholic education and the mission of the school
  • Act as a witness to Gospel values by modeling the teachings of the Catholic Church
  • Support and adhere to the Code of Conduct and policies and procedures of the school and Diocese
  • Maintains confidentiality regarding parish and school matters
  • Welcome and direct visitors and parishioners
  • Provide administrative, secretarial, and office support to the Pastor and Parish Staff
  • Answer phone calls and forward calls accordingly, take messages.
  • Respond to parish emails in a timely fashion.
  • Maintain parish calendar, schedule appointments, special events, and meetings
  • Manage the reservation process for the church vans and trailers, including keeping accurate records of key distribution and check in and out forms.
  • Participate in parish staff meetings and Diocesan workshops/trainings
  • Prepares parish bulletin, parish announcements, and other communications. When completed give to Parish Office Manager for final approval
  • Maintain parish memberships and sacramental records; Prepare Baptismal and Marriage Certificates
  • Coordinate information for baptisms, funerals and weddings
  • Generate routine correspondence, digital and written
  • Monitor and order supplies (office, janitorial, sacramental, etc.)
  • Maintain a current list of volunteers to contact for different tasks
  • File all monthly, quarterly, and annual reports. Organize and maintain a filing system for all important parish documentation
  • Assist with the organization of parish capital campaigns and Bishop’s Annual Appeal.

Requirements

Personal Qualifications

  • Be a person who is driven by the Catholic faith and willing to fulfill the vision and mission of this Parish.
  • Enjoys working with people. Pleasant and welcoming.
  • Ability to work as a team with parish staff members, ministry leaders, and volunteers.
  • Ability to work in a fast-paced environment
  • Skill in critical thinking and planning
  • Understands the importance of confidentiality of church records and conversations.
  • Great verbal and written communication skills. Bilingual, fluent in Spanish and English, is preferred.

Professional Qualifications

  • Have good computer and typing skills. Have knowledge of Microsoft Office applications – Word, Excel, PowerPoint, Publisher, and Outlook.
  • Have minimum of a high school diploma. Associate’s degree preferred.
  • Excellent organizational and filing skills.
  • Some secretarial experience.
  • Attention to detail and accurate data entry skills.
  • Must maintain compliance with the Diocese of Austin Ethics and Integrity in Ministry (EIM) policies throughout the employment period.
