You'll ensure smooth HR operations by maintaining organized records, managing employee transitions, facilitating effective learning systems, and being a reliable point of contact for employee inquiries and support.

The Opportunity:
We're seeking an outstanding HR Assistant to provide top-tier administrative support to our People Team. You'll ensure smooth HR operations by maintaining organized records, managing employee transitions, facilitating effective learning systems, and being a reliable point of contact for employee inquiries and support.

What you’ll do:
HR process administration:
- Administrative functions of onboarding and offboarding processes for new starters and leavers including orientation, creating and maintaining employee record, i9 process, seeking references and background screening, generating paperwork
- Tracking annual leave and maintaining time off policy assignments.
- Monitor HR inbox and respond to employee inquiries.
- Maintain accurate records in HRIS
- Monthly HR data reporting and ad hoc requests
- Serve as the first line resource for employees with HR questions
- Assist with annual Open Enrolment and triaging employee questions
- Liaise with HR Director and PEO for leaves administration.
- Guide employees through leave of absence requests & managing paperwork
- Updating training content in Learning Management System
- Assist with the coordination of the internal performance review process and 360 feedback survey.
- Scheduling and tracking of compliance and agency required training
- Assist with labor law compliance across North America.
- Generating DiSC profiles as required.
- Serving as coverage for HR team across regions
- Involvement in People Division projects where required.
- Assist with some payroll functions as needed
- Providing additional administrative support for the People Team as required
- Organizor - skillfully juggle multiple tasks simultaneously whilst maintaining high accuracy
- Communicator - exceptional communication skills and high emotional intelligence
- Process Driven - a systematic approach to tasks, ensuring that all HR activities follow guidelines and policy and are efficient.
- Customer Oriented - exceptional drive to support and help employees and team members
- Self-starter - proactive, resourceful and independent worked; driven by internal goals
- Curious - self motivated with a drive to continually learn and improve. Ability to utilize technology, including AI to improve efficiency and innovation.
- Tools Expertize - proficiency in Google suite (mail, calendar, docs, slides, sheets). HRIS and other company wide softwares.
- Discrete - ability to handle sensitive information with discretion and maintain confidentiality.
- Essential: Experience in working in an administrative role with exposure to HR practices or education in HR.
- Experience in a fast paced, (ideally Global) environment with forever changing priorities.
- Strongly Desirable: Hands-on experience of HRIS management. Basic knowledge of labor laws in North America.
