Job Description

We are seeking a detail-oriented and highly organized Accounts Payable & Receivable Clerk to join our operations/accounting team. This role is responsible for processing client and vendor transactions with precision and timeliness. The ideal candidate will have experience in the retirement plan administration space or financial services and possess strong knowledge of industry billing practices, compliance, and account reconciliation.

Key Responsibilities

Accounts Receivable:

  • Generate and issue invoices for 401(k) plan administration services based on service agreements and plan data.
  • Monitor accounts receivable aging reports and follow up with clients to ensure timely collections.
  • Process incoming payments (ACH, wire, check) and accurately apply them to client accounts.
  • Work closely with the Operations/Plan Administration/Client Services team to resolve billing discrepancies or client questions.
  • Maintain client billing records and ensure data integrity in financial systems.
  • Assist in developing automated billing processes in coordination with plan administration tools or CRM systems.

Accounts Payable

  • Review, verify, and process vendor invoices related to 401(k) plan services, compliance, and TPA partners.
  • Coordinate with plan sponsors and third-party custodians regarding fee payments and account-level reconciliation.
  • Ensure all payments are processed on time and in accordance with contractual terms.
  • Reconcile statements and resolve billing or payment discrepancies.
  • Maintain organized records for audits and compliance purposes.
  • Support operational leadership in preparing reports for audits and regulatory filings related to 401(k) plan fees and payments.
  • Provide weekly AR/AP update reports to CEO/COO.

Qualifications

  • Associate’s or Bachelor’s degree in Accounting, Finance, or related field.
  • 3+ years of AP/AR experience, preferably in financial services, retirement plans, or benefit administration.
  • Familiarity with 401(k) industry billing models (e.g., per participant, AUM-based, fixed fees).
  • Proficient with accounting systems (e.g., QuickBooks, NetSuite, Bill.com) and CRM software.
  • Advanced Excel skills (formulas, pivot tables, reconciliation).
  • Strong attention to detail and ability to manage sensitive financial data.
  • Effective written and verbal communication skills.
