Primary Purpose

Provide clerical assistance to Substitute Coordinator and Certification Specialist. Actively engage in actions that contribute to the overall mission and strategic plan of Clear Creek ISD.

Qualifications

Education/Certification/Licensure

High school diploma or GED

Special Knowledge/Skills

  • Effective communication, interpersonal and public relations skills
  • Proficient computer and typing skills
  • Knowledge of general office procedures and equipment
  • Ability to follow verbal and written instructions
  • Ability to maintain confidentiality

Experience

Minimum of three years sucessful clerical experience school district preferred

Major Responsibilities and Duties

  • Respond to inquiries and assist substitute employees, and applicants as needed.
  • Review substitute applications and assist applicants with the application process.
  • Assist the Substitute Coordinator with recruitment, screening, hiring, training, scheduling, and retention of the required number of substitutes to meet the daily district needs.
  • Assist Substitute Coordinator with scheduling and follow-through of the application process, including phone calls, emails and maintaining electronic documents.
  • Assist Substitute Coordinator with required meetings including preparation of materials for orientation of all new and returning substitutes.
  • Monitor, report, and respond to the district daily fill rate performance to ensure maximum substitute placement.
  • Maintain accurate substitute information in the automated payroll system by adding or verifying updated personal information including degrees and certifications.
  • Serve as a back up for the substitute program in absence of Substitute Coordinator.
  • Assist Certification Specialist with certification and license renewals.
  • Upload all certifications into human resources employee tracking software.
  • Assist with completion of loan forgiveness forms.
  • Assist with coordination of onboarding, fingerprinting and badging of new staff.
  • Assist with creation and distribution of service records for support staff.
  • Assist with department mailings, including but not limited to preparation of materials, preparing labels, stuffing envelopes, mailing and distribution of incoming mail.
  • Provide clerical support as needed for the human resources department.
  • Purchase supplies as needed for department interviews.
  • Process all name and address changes in personnel tracking software.
  • Relieve CCISD receptionist and coordinate coverage as needed.
  • Coordinate alternate coverage at front reception desk when absence is anticipated.
  • Travel to collect department materials, visit CCISD facilities, and attend professional learning as directed.
  • Maintain confidentiality at all times.

  • Maintain friendly customer-service-driven interactions with all stakeholders, students, teachers, administrators, and co-workers.
  • Work cooperatively with co-workers and supervisors to ensure that the goals of the school/department are met.
  • Maintain a positive and professional tone in all communication (i.e. email, written, and verbal).
  • Perform other duties and accept other responsibilities as assigned.
