Job Title:

Executive Administrator


Job Overview:

As a member of the executive team, the Executive Administrator serves as an advisor and helps to lead staff and church members to fulfill the church’s mission by managing the day-to-day operations of the church. The Executive Administrator is specifically responsible for oversight of office and administrative operations and marketing and communication efforts. This position is accountable for the Administrative Assistant, Nursery Coordinator, and Hospitality and Personnel Teams.


Responsibilities:


General

  • Attend scheduled weekly staff meetings. Meet regularly with the Lead and Executive Pastor as specified by the Lead Pastor.
  • Support the Lead Pastor at various meetings as directed.
  • Provide coordination of business and legal matters of the church as requested by the Lead Pastor and/or CCVA.
  • Develop, create, and coordinate regular publications and manage communications channels (including, but not limited to MLC website, MLC social media platforms, worship service bulletins, inserts, the Visitor newsletter, and ministry brochures, posters, etc.) to promote church news, updates and community events.
  • Oversee, maintain and enforce the consistency and integrity of Morningside Lutheran Church’s brand identity.
  • Enhance job knowledge and abilities by taking personal responsibility for Christian and professional development and training of oneself.


Administrative Management

  • Oversee responsibilities of front office and administrative function of the church.
  • Supervise the Administrative Assistant to ensure administrative operations are efficient and aligned with mission and vision, and support the immediate needs of the church.
  • Provide management of personnel activities within the area of responsibility, including work schedules, interviewing, hiring, evaluating, and documenting of employees’ performance in achieving goals.
  • Lead in establishing goals, providing guidance and support, and deliver evaluations for accountability of assigned employees.
  • Oversee and assist assigned employees in the management of the annual operating budget.
  • Responsible for managing inventory and the ordering of church office supplies.
  • Maintain the church master calendar of activities, events, and programs.
  • Schedule facility and van use while using proper process and required forms. Manage distribution and tracking of any keys.
  • Be responsible for all incoming and outgoing mail, as well as prepare and send out bulk mailings.
  • Work with staff to prepare and print the Church Annual Report and membership directories.
  • Maintain the church file of membership records and maintain a file of all minutes of CCVA and other special congregational meetings. Distribute minutes to the CCVA and congregation.
  • Supervise Nursery Coordinator to ensure nursery operations are safe, efficient and aligned with mission and vision of the church.
  • Oversee and meet with the Hospitality and Personnel ministry teams to provide vision, guidance, and support.


Status:

Full time exempt employee, reports to Lead Pastor

Supervisor to Administrative Assistant and Nursery Coordinator.

Position requires flexibility in hours available for work including evenings and weekends based on a minimum of 30+ hours/week


Education/Experience:

Bachelor's degree, administrative, communications, and supervisory experience preferred.

  • Experienced in people leadership and administration.
  • Be able to motivate teams to set goals, monitor and evaluate progress, support and coach to achieve measurable goals and outcomes
  • Be effective in time management and organization to fulfill expectations
  • Have strong written and oral communication skills, including conflict resolution
  • Have computer literacy
