Job Summary:

ClearPath Medical is seeking a versatile HR/Bookkeeping Specialist to manage human resources and bookkeeping functions in support of our growing team and operations. This role will handle recruitment, employee relations, payroll, and compliance with labor regulations, while also performing financial tasks such as accounts payable and receivable, general ledger maintenance, and financial reporting. The HR/Bookkeeping Specialist will play a crucial role in ensuring seamless HR operations and accurate financial records, thereby contributing to our organizational success and growth.

Key Responsibilities:

  • Human Resources:
    • Manage recruitment and onboarding for new hires, including the planned addition of 30 production employees by year-end, ensuring compliance with hiring processes and labor laws.
    • Administer payroll, benefits enrollment (e.g., health insurance, retirement plans), and employee records, maintaining 100% compliance with federal and California labor regulations.
    • Coordinate employee training programs (e.g., safety, FDA/ISO 13485 compliance) to achieve 100% training compliance for production staff.
    • Handle employee relations, including resolving conflicts, conducting performance reviews, and managing disciplinary actions in collaboration with supervisors.
    • Maintain HR documentation for audits, including employee files, training records, and compliance reports, to ensure accurate and up-to-date records.
  • Bookkeeping:
    • Process accounts payable (AP) and accounts receivable (AR), ensuring timely payments to suppliers and accurate invoicing to customers (>98% on-time payment rate).
    • Maintain the general ledger, reconcile bank statements, and ensure accurate financial records using accounting software.
    • Prepare financial reports, such as balance sheets and income statements, for management review on a monthly and quarterly basis.
    • Assist with budgeting and forecasting, supporting cost-saving initiatives (e.g., aligning HR and operational budgets with company goals).
    • Ensure compliance with tax regulations and assist with audits by providing accurate financial documentation.
  • Cross-Functional Support:
    • Collaborate with the Production Manager and Buyer Planner to align hiring and payroll with production needs and growth plans.
    • Support compliance efforts by ensuring HR and financial processes meet FDA and ISO 13485 audit requirements.


Skills and Qualifications:

  • Technical Skills:
    • Proficiency in HR software for payroll, benefits, and employee record management.
    • Expertise in accounting software (e.g., QuickBooks) for bookkeeping and financial reporting.
    • Knowledge of federal and California labor laws, as well as a basic understanding of FDA/ISO 13485 compliance requirements for HR documentation.
    • Proficiency in Microsoft Excel for financial analysis, reporting, and HR metrics tracking; familiarity with Microsoft Office Suite (Word, Outlook).
  • Soft Skills:
    • Strong organizational and multitasking skills to manage dual HR and bookkeeping responsibilities in a fast-paced environment.
    • Excellent communication and interpersonal skills to handle employee relations and coordinate with management and external vendors.
    • Problem-solving and attention to detail are required to ensure accuracy in financial records and compliance with regulations.
    • Discretion and confidentiality in handling sensitive HR and financial information.
  • Education & Experience:
    • A degree in human resources, accounting, business administration, or a related field is preferred; equivalent experience may be substituted.
    • Minimum of 2 years of combined experience in HR and bookkeeping, preferably in a manufacturing or regulated industry.
    • Experience with payroll processing, recruitment, or financial reporting is highly desirable.
    • Certifications such as SHRM-CP, PHR, or QuickBooks Certified User are a plus but not required.


Tools and Software:

  • HR software: for payroll and employee management.
  • Accounting software: QuickBooks for bookkeeping and financial reporting.
  • Communication tools: Microsoft Teams, Outlook for internal coordination.
  • Other: Microsoft Excel (advanced) for data analysis, document management systems (e.g., SharePoint) for HR and financial records, and applicant tracking systems (ATS) for recruitment.


Challenges:

  • Balancing dual HR and bookkeeping responsibilities under tight deadlines, especially during rapid hiring growth.
  • Ensuring compliance with complex labor laws and FDA/ISO 13485 requirements for HR documentation during audits.
  • Managing employee relations issues, such as conflicts or turnover, in a growing production environment.
  • Maintaining accuracy in financial records amidst high transaction volumes (e.g., supplier payments, payroll).
  • Coordinating with production and procurement teams to align hiring and budgeting with operational needs.


Decision-Making Authority:

  • Approvals: Authority to process payroll, approve routine AP/AR transactions, and manage recruitment processes within established guidelines.
  • Employee Relations: Authority to resolve minor employee issues and recommend disciplinary actions; escalates terminations or major HR decisions to senior management.
  • Financial Decisions: Autonomy to manage day-to-day bookkeeping tasks and prepare financial reports; escalates major budgeting or financial policy changes to management.
  • Autonomy: High autonomy in daily HR and bookkeeping operations, with escalation for strategic, high-value, or compliance-related decisions.

  • Pay Range:

    The annual salary range for this position is $69,000 to $80,000, commensurate with experience, qualifications, and familiarity with HR and bookkeeping in a manufacturing or regulated environment.
