Job Summary: The Tax Support Specialist plays a vital role in ensuring the efficiency and organization of the tax department’s day-to-day operations. This position supports the team by managing incoming communications, handling mail processes, assisting with registration processing, and performing ad hoc tax administrative tasks as needed. The Tax Support Specialist will support the sales tax team in managing the sales tax on customer accounts including exemption account set up, obtaining sales tax exempt certificates from customers, and communicating status and solutions to customers and billing and accounts receivable team members. This person must pay great attention to detail and enjoy problem solving. This role also requires someone who enjoys communicating with customers and team members and providing great responsiveness to all parties.

The Tax Support Specialist will support the sales tax team in managing the sales tax on customer accounts including exemption account set up, obtaining sales tax exempt certificates from customers, and communicating status and solutions to customers and billing and accounts receivable team members. This person must pay great attention to detail and enjoy problem solving. This role also requires someone who enjoys communicating with customers and team members and providing great responsiveness to all parties.
Job Duties
- Assist with Nexus registration of licenses/permits –gather detailed information or documents. Assist in the preparation of required filing documents and payment remittances.
- Assist in preparing Miscellaneous Business filings; per state/county/city mandates.
- Federal Form W-9, W-8 & State Resale certificates – provide when requested.
- Maintain the primary filing calendar- update with filings information and new additions.
- Assist in preparing Business Personal Property tax renditions & schedules.
- Assist with completion of the business-related quarterly and annual regulatory filings.
- Assist with audits. Complete requested materials. Assist in preparing assigned schedules for the state/county various tax audits.
- Document policies, procedures, and workflow for assigned areas of responsibility.
- Contribute to department and organization special projects as assigned.
- Review and validate customer exemption certificates, communicate with customers to obtain valid exemption documentation, and set up customer exemption certificates in appropriate taxing software systems.
- Receive and process sales tax exemption certifications from customers.
- Maintain sales tax exemption certificates and conduct timely updates for expired sales tax certification.
- Continuously communicate the status of sales tax exemption requests to customers and engaged sales team members.
- Work with customers, billing, accounts receivable, sales team, and reconciling customer accounts.
- Assist with related monthly sales and use tax compliance as needed.
- Other duties as assigned.
Qualifications:
- 1-2 years of Avalara Sales Tax - CertCapture System experience preferred
- High school diploma required
- Proficient with Microsoft Excel
- Epicor Eclipse experience a plus
- Strong problem solving and analytical skills
- Strong communication skills
- Ability to communicate effectively and interact with diverse personalities while maintaining a professional attitude
- Adherence to laws and confidentiality guidelines
- Must be extremely organized and task oriented
- College degree preferred
