Requirements
Front Desk & First Impressions
- Greet and assist all visitors with professionalism and warmth.
- Manage incoming calls and direct them appropriately.
- Maintain clean, well-stocked common areas (conference rooms, kitchen, reception).
- Support a positive, collaborative office environment.
- Oversee office supplies, mail, deliveries, and general upkeep.
- Assist with onboarding materials and internal communication support.
- Track daily time entries in internal systems.
- Review client-facing documents for formatting, grammar, and consistency.
- Order and coordinate food for in-office meetings and events.
- Assist with accounts payable/receivable, reconciliations, and media order tracking.
- Manage project and billing entries in our project management system (Function Point).
- Support internal reporting, invoicing, and general operations.
- Assist with trade show logistics, client-facing materials, and marketing prep.
- Pitch in on marketing tasks and special projects as needed.
- 2–4 years of experience in an administrative role, ideally in a client-focused or agency environment.
- Strong organizational skills with excellent time management and attention to detail.
- Proficiency in Microsoft Office Suite.
- Strong verbal and written communication skills with a professional, friendly demeanor.
- Experience reviewing, formatting, and proofreading documents for accuracy and consistency.
- Ability to handle confidential information with professionalism and discretion.
- Comfortable juggling multiple responsibilities in a fast-paced, collaborative environment.
- Customer service mindset with a polished, welcoming presence.
- Experience supporting financial tasks like accounts payable/receivable and media reconciliations.
- Associate’s or bachelor’s degree in Business Administration, Communications, or a related field.
- Familiarity with time-tracking and project management tools (such as Function Point).
- Exposure to marketing coordination, event logistics, or tradeshow support.
- Prior experience in an agency or marketing environment.
- Must be able to work on-site, five days per week.
- Frequent use of computers, phones, and standard office equipment.
- Ability to sit, stand, bend, reach, and walk short distances regularly.
- Must be able to lift and carry items up to 25 pounds (e.g., packages, beverages, supplies).
- Must maintain a professional appearance and demeanor at all times.
