Right at Home, a locally owned home care agency with a warm, tech-savvy culture, is looking for a Care Coordinator to lead scheduling and inside sales efforts. This is a key role that ensures clients receive timely care, caregivers are matched thoughtfully, and families feel confident they’ve come to the right place.

Key Responsibilities
Scheduling & Shift Coordination
- Monitor daily/weekly schedules and open shifts using WellSky (formerly ClearCare)
- Review caregiver availability reports and fill open shifts efficiently
- Communicate with caregivers to confirm shifts, take call-offs, and manage changes
- Log schedule-related updates and communication in WellSky
- Match caregivers with new clients and confirm schedules
- Coordinate first shifts and supervisory visit tasks
- Answer inbound inquiries with empathy and professionalism
- Complete Initial Call Screens and Client Inquiry Records in WellSky
- Use consultative phone techniques to understand needs and recommend solutions
- Send follow-up brochures, letters, and service info
- Schedule in-home consultations and track progress toward care starts
- Follow up via phone and email
- Enter client data and build care plans in WellSky
- Prepare client binders and maintain physical/digital records
- Review care plans with caregivers before their first visits
- Set tasks for caregiver supervision and family follow-up
- Communicate changes and progress updates to families
- Assist with caregiver hiring processes
- Collect employee availability and enter info into WellSky
- Maintain secure personnel records
- Warm, compassionate, confident communicator who’s proactive and organized
- Comfortable juggling calls, follow-ups, and scheduling in a fast-paced environment
- Problem solver who makes people feel heard and valued
- Motivated to grow in a purpose-driven, people-first culture
- 2+ years of experience in scheduling, inside sales, or client services (home care/healthcare preferred)
- Strong verbal and written communication skills
- Comfortable with technology including WellSky (or similar scheduling/CRM software)
- Able to work onsite in Pleasanton, CA
- Valid driver’s license, insured vehicle, and available for on-call support
