Position Summary

The Supervisor of Facilities and Regulatory Compliance provides leadership and operational oversight for all aspects of Donor Network West’s facilities, equipment, and inventory management systems. This position is responsible for ensuring clinical facilities and associated systems operate efficiently, safely, and in full compliance with applicable regulations and standards. The Supervisor plays a critical role in maintaining audit-ready environments, developing departmental procedures, and managing vendor partnerships. This role requires a strong understanding of regulatory frameworks relevant to organ, eye, and tissue donation, and includes direct supervision, team development, and strategic resource planning.

Essential Job Duties And Responsibilities

Leadership and Staff Supervision

• Supervises, mentors, and develops reporting staff who have duties supporting facility operations, equipment maintenance, and supply and inventory operations.
• Oversees recruiting, hiring and onboarding, and all performance management including establishing goals, overseeing and assisting with training and competency development, competency assessments, professional development aligned with department and organizational goals, and official performance reviews to ensure high-performing, compliant teams.
• Supervises staff scheduling, work assignment prioritization and delegation, and coordination of staff time off and back up support assignments.
• Participates with the Sr. Manager of Facilities to ensure an overall safe and compliant work environment for all staff.
  
  

Regulatory and Quality Compliance

• Develops and maintains facility and equipment documentation in accordance with FDA, OSHA, AATB, EBAA, and internal DNWest standards.
• Oversees and ensures documentation of maintenance, calibration, sterilization, and cleaning logs for audit readiness.
• Leads quality assurance and performance improvement (QAPI) activities related to facilities and inventory operations, including internal audits, deviation handling, and corrective actions.
• Interprets and implements regulatory requirements into operational policies and practices.
  
  

Facilities, Equipment, and Inventory Oversight

• Supervises all facility-related functions, including access control, environmental monitoring, maintenance, repairs, and cleaning.
• Supervises the lifecycle of clinical equipment including selection, procurement, preventive maintenance, repair coordination, and regulatory documentation.
• Oversees surgical instrument cleaning and sterilization processes in compliance with infection control and donor safety protocols.
• Administers the inventory management system to ensure traceability, appropriate stock levels, and compliance with barcoding and labeling requirements.
• Approves supply purchasing and monitors vendor performance, contracts, and budget impact.
  
  

Strategic and Operational Initiatives

• Serves as the department’s representative on internal committees and external regulatory or professional groups.
• Develops and implements policies, procedures, and strategic plans that enhance operational efficiency, regulatory alignment, and staff engagement.
• Leads or participates in facility planning projects, process improvements, and emergency preparedness initiatives.
  
  

Qualifications

• Strong leadership, interpersonal, and project management skills.
• In-depth knowledge of regulatory and quality standards relevant to healthcare, clinical environments, or the donation/transplantation field (e.g., FDA, OSHA, AATB, EBAA, CMS).
• Demonstrated ability to lead QAPI activities and maintain audit-ready systems.
• Effective communicator with ability to lead cross-functional initiatives and vendor negotiations.
• Financial acumen to manage departmental budgets and vendor contracts.
• Proficiency with electronic inventory management systems and related software platforms.
• Reliable transportation and ability to travel between sites as required.
• Experience supervising employees and/or project managing staff on complex projects or for regulatory or clinical programs.
  
  

Education And Experience

• Bachelor’s degree in a relevant field required (e.g., healthcare administration, biomedical engineering, facilities management). Additional years of directly related experience may substitute for the degree.
• Minimum 3 years of supervisory or management experience in a regulated or clinical environment.
• Preferred: Experience in tissue, eye, or organ procurement operations.
• Preferred: Experience using barcoded inventory management systems.
• Preferred: Certification as a Certified Eye Bank Technician (CEBT) or Certified Tissue Bank Specialist (CTBS).
