Description

St. Joseph's Center is searching for a compassionate, detail-oriented individual with strong interpersonal skills to join our team as a Secretary. This secretarial role will provide clerical and general related office duties for Maternity and Family Services and support general operations of the Baby and Children’s Pantry with a high degree of confidentiality.

    Essential Duties And Responsibilities

    • Prepare and processes confidential correspondence, reports, agendas and general paperwork
    • Answers the phone and provides information and referral services
    • Composes emails, routine correspondence, thank you letters, memos, letters and flyers
    • Development of forms, staff schedules, contracts, flyers, etc. Edits correspondence and reports
    • Prepares reports for Maternity Advisory Committee, grant applications/follow-up requirements,
    • Enters all admission, discharge and community services data to Homeless Management Information System (HMIS) daily
    • Maintain confidentiality in regard to all program information and use office/private area for confidential conversations
    • Files all data relating to the Mother Infant and Walsh Manor program
    • Operation and maintenance of all general office equipment, including ordering supplies
    • Coordinates activity/ requests with Maintenance, Housekeeping, Central Supply and Business Office at St. Joseph's Center
    • Maintains office supply inventory and stocks all forms and supplies
    • Attends and prepares minutes for staff meetings
    • Attends Real Alternatives training for counselor certification and provides Real Alternative approved services
    • Manages all Real Alternatives staff requirements for counselor certifications (clearances, training)
    • Accepts and documents program donations
    • Manages the monthly schedule calendar, assuring that all shifts are covered, based on time off requests and call offs
    • Maintains a cooperative relationship with coworkers and supervisors and creates an atmosphere of mutual respect and trust within the department
    • Is flexible to change in duties, priorities, methods and environments
    • Comes to work as scheduled and is punctual
    • Performs other related tasks as assigned and remains flexible to the diverse needs of the department

    Education And/or Experience

    • High School Diploma or GED
    • Valid PA Driver’s License
