Express Employment is looking for an Architectural Review Committee Coordinator. The candidate for this position manages and coordinates the Architectural Control Committee, maintains updated Rules & Regulations, and ensures compliance with company policies and the Review Committee. The position also requires the individual to provide professional support on violations, handles member complaints, and reports to the Operations Manager.

Pay: $20/Hour

Work Hours: Monday - Friday 8:00 am - 3:30 pm, 36-40 Hours per week

Job Description

  • Prepare meeting agendas and record/distribute meeting minutes
  • Oversee outgoing correspondence, maintain organized files, and restrict access to authorized personnel only
  • Utilize software systems to perform job functions
  • Track and report on open violation cases to the Board of Directors and for others members
  • Keep track of outstanding complaints and carries out hearing and fines as directed until all case is resolved
  • Coordinate weekly schedule of inspectors and documents inspector reports
  • Manage the annual process of weed abatement program by issuing notification letters, inspections, and maintaining response spreadsheets
  • Research records about ownership details and ensure proper handling of complaints
  • Send letters to property owners with pending fines and follows up with the company’s decision in writing
  • Support department with documentation, hearings, and follow-up on fines
  • Assist other departments as needed and report critical issues to Operations Manager
  • Comply with rule variances
  • Operate and use computer programs: TOPS & YARDI to manage all aspects of the position
  • Other duties as assigned

Qualifications And Requirements

  • High school diploma, GED, or equivalent
  • Minimum of 2 years of recent office experience, preferably dealing with public interaction
  • Current experience with computer software Tops & Yardi preferred but not required
  • Previous customer service or a related field is preferred
  • Strong verbal and written communication, active listening, and strong interpersonal skills
  • Proficient in Microsoft Office and computer databases
  • Ability to multitask and prioritize tasks effectively in a fast-paced environment with frequent interruptions/distractions
  • Maintains professionalism in high pressure situations
  • Excellent problem-solving and decision-making skills for handling complex administrative, technical, and member problems
  • Demonstrates a positive, empathetic approach toward members
  • Detail Oriented
