Essential Job Duties
- Work closely with PMO to assess and make recommendations for how to wisely leverage the organization’s ongoing project capacity.
- Regularly communicate with the PMO to maintain visibility into individual project progress so that the Sunward Leadership Team can be provided with regular updates on status/progress of critical projects.
- Collaborate with the PMO to ensure continuous improvement of Sunward’s project management processes by identifying, documenting, and improving standard PM practices.
- Serve as a backup to the PMO in the administration of the Credit Union’s PM tools/systems (task tracking, meeting minutes, timelines, etc.), as needed.
- Support project leaders and project teams in the development and execution of comprehensive and realistic project plans for approved cross-functional projects to ensure all business requirements are met (includes thorough scoping, creation of SOWs/project schedules, project charters, etc.).
- Create and maintain projects (project plans/WBSs, tasks, follow-ups, meeting minutes, etc.) in Sunward’s project management system to facilitate clarity and momentum on approved cross-functional projects.
- Serve as project management assistant/consultant to business unit project managers on approved organization-wide cross-functional projects through the use of standardized PM tools and practices.
- Proactively assess the ongoing needs of on-deck and active projects and propose solutions to help project teams identify and work key project related activities (ex. – recognize when research and/or sub team meetings are appropriate and propose to project teams).
- Regularly attend, schedule, facilitate, and take minutes at project meetings to maintain clarity and momentum on critical cross-functional projects.
- Capture project meeting minutes, follow-ups, and business decisions to maintain an accurate narrative of each project’s progress.
- Support project owners/leaders in advocating for Sunward’s interests with vendors on critical cross- functional projects, as needed, by proactively interfacing with all areas affected by the project, including end users and vendors.
- Help train and mentor Sunward’s project owners, project leaders, and key project participants in basic PM best-practices as well as Sunward’s standard project management processes, tools, and expectations.
- Collaborate with critical project stakeholders to help facilitate relevant solutions; key stakeholders would include, but are not limited to: SET/Dev, business unit leaders, SMEs, QIAs, Trainers, etc.
- Regularly provide the PMO with data on assigned projects in order to facilitate clear line of sight into project team resource allocation/capacity, and as appropriate, recommend adjustments to projects to maintain forward progress on key strategic work efforts.
- Work with PMO and project owners/leaders to consistently deploy and continuously improve Sunward’s key project management work processes (ex. - Business Case development/submission, facilitation of SLFCU’s project prioritization process, help make recommendations on the calendaring of projects to meet both business needs and minimize negative impact on employees/members).
- Actively work with project sponsors, leaders, and team members to monitor and manage to quality standards, timelines, and commitments made to complete project tasks/deliverables.
- Facilitate project closeouts/lessons learned and incorporate improvements into the Credit Union’s key PM processes, tools, etc.
- Coordinate with SMEs throughout the organization, as needed, to facilitate their involvement in project related testing activities to ensure quality results.
- Promote the service and sales culture by maintaining thorough knowledge of products and services.
- Performs other duties as assigned.
Experience & Education:
- Minimum 2-4 years’ experience planning and managing projects of various sizes that involve technology.
- Minimum bachelor’s degree or certification in marketing, business administration, or related field, or more than 2 years of directly related experience.
- PMP or Agile certification, or willingness and ability to obtain certification within 12 months of assuming the role.
- Working knowledge of the full project lifecycle, including initiation, planning, execution, monitoring, and closure.
- Familiarity with both traditional (Waterfall) and Agile project management methodologies, tools, and terminology.
- Ability to create and maintain project documentation (charters, schedules, task lists, meeting minutes, etc.) and track progress using project management software.
- Understanding of risk, issue, and scope management practices and their impact on timelines and deliverables.
- Competence in stakeholder communication and coordination, including working with internal teams and external vendors.
- Proficiency in collaboration and productivity tools (e.g., Microsoft Office, Teams, project management platforms).
- Basic knowledge of change management and business process improvement principles.
- Awareness of how projects align with organizational strategy and business goals.
- Excellent interpersonal and negotiation skills.
- Excellent organizational skills and attention to detail.
- Strong proficiency with Microsoft Office applications. Familiar and comfortable with information technology, particularly digital means of communication.
- Strong organizational skills in managing multiple initiatives.
- Strong analytical and problem-solving skills.
- Prolonged periods of sitting at a desk and working on a computer.
- Frequent travel
- Must be able to lift 20 pounds at times.
