Principal Responsibilities

The Administrative Assistant to the Worship Pastor serves First Baptist Church Tuscaloosa by partnering with and supporting the Worship Pastor in administrative, clerical and coordinating Music Ministry work while applying the church’s purpose to Magnify, Mature, Minister, Multiply in the name of Jesus.

  • Under the guidance of the Worship Pastor, assists with the order of service as requested for weekly Sunday, Mid-week or any special activity or event under the supervision of the Minister of Worship (Magnify, Mature)
  • Creates and sustains accurate worship and production team rosters/groups within Planning Center (Mature)
  • Constructs new song files in Planning Center and link/upload all required preparation materials (Mature)
  • Builds custom chord charts in Planning Center based on piano lead sheets, then organize the charts based on each week’s arrangement (Mature)
  • Exports mp3s of all arrangements and upload to Planning Center (Mature)
  • Ensures all music and other service elements have been distributed to all participants (Mature, Minister)
  • Supports Worship Pastor in coordination with Media and Technology by providing lyrics and anything else for graphic slides for congregation and monitors (Mature, Minister)
  • Supports Worship Ministry teams who lead worship services or support worship services (Magnify, Mature, Minister)
  • Makes certain all licensing requirements are met and maintained, providing payment for all copyrighted materials being used and licenses needed (Mature)
  • Maintains and updates song and music library (both physical and cyber), downloading music files, lyrics making access simple to use for worship leadership teams (Mature, Minister)
  • Facilitates the organization of the Worship Choir in all areas including, readying the Choir Room, music for rehearsals, preparing and maintaining choir folders, robes, enrolling new members (Magnify, Mature, Minister, Multiply)
  • Assists the Worship Pastor in the process of recruiting, training and equipping Music Ministry Volunteers by preparing all required training materials and acting as a “scout” for the worship leader; keeping eyes and ears open for potential volunteers (Magnify, Mature, Minister, Multiply)
  • Coordinates scheduling transportation for choir tours and other transportation needs not normally taken care of within the different programs of the worship ministry (Mature, Minister)
  • Maintains the Worship Minister’s administrative files and music file database systems, updating files at least annually (Mature, Minister)
  • Develops and updates a system for keeping track of the history of the worship ministry that will include, but not be limited to, enrollment of choirs and other organizations, average attendance, major events and publications produced for major presentations (Mature, Minister)
  • Assists the worship leader in maintaining proper financial records, recording all expenses in accordance with FBC Tuscaloosa financial policies, and adhering to bank card guidelines and receipt uploads (Mature)
  • Orders and tracks inventory for production related equipment (Mature)
  • Schedules media technicians for special services (Mature)
  • Supports the music ministry by participating in regular music staff meetings (Mature)
  • Pursues personal growth and practice spiritual disciplines, practices tithing (Mature)
  • Fosters connection with Music Ministry team members with one another to intentionally build a relational Christ centered experience for each member (Magnify, Minister, Multiply)
  • Cohesively manages with accountability, various administrative high-level tasks and operates various machines in an office environment (Magnify, Mature, Minister)

Administrative Assistant To Worship Pastor Primary Goals

  • Assist the Worship Pastor with the planning and coordination of all Music Ministry Order of Worship communication, music and other details to all involved participants
  • Support Worship Ministry Teams who lead worship services or support worship services and events
  • Maintain and update Music and Song Libraries across physical and electronic files
  • Create and keep current all Planning Center documents and files
  • Make every member of the Music Ministry feel welcomed and cared for at their first gathering
  • Unite Music Ministry, Worship Choir, staff and volunteer members into a cohesive, cherished and invigorating demonstration of Jesus at work in our church

Requirements

  • BA or MA in Music or Christian Education
  • Able to read music and play an instrument
  • Minimum of 3 to 5 years full-time experience working in a Music Ministry

WORK ENVIRONMENT

The work environment characteristics described here are representative of those an employee may encounter while performing the essential functions of this job. While performing the duties of this job, the employee generally will function in a climate-controlled environment. The employee may occasionally be exposed to outside weather conditions including periods of extreme cold or extreme heat. The noise level in the work environment is usually mild.
