Position Summary
The Program Coordinator is responsible for the overall day-to-day operation and supervision of programs serving individuals with developmental and/or intellectual disabilities. This role directly supervises Direct Care staff, ensuring quality service delivery, regulatory compliance, and the well-being of each client. The Program Coordinator supports staff through coaching, training, and evaluation, and maintains strong, proactive communication with families, guardians, and interdisciplinary teams.
Essential Duties & Responsibilities
The Program Coordinator is responsible for the overall day-to-day operation and supervision of programs serving individuals with developmental and/or intellectual disabilities. This role directly supervises Direct Care staff, ensuring quality service delivery, regulatory compliance, and the well-being of each client. The Program Coordinator supports staff through coaching, training, and evaluation, and maintains strong, proactive communication with families, guardians, and interdisciplinary teams.
Essential Duties & Responsibilities
- Oversee the daily functioning of programming for clients to ensure a safe, supportive, and therapeutic environment.
- Supervise, coach, and evaluate Direct Care staff; address personnel issues, ensure compliance with agency policies, and implement strategies to reduce turnover.
- Facilitate new hire orientation and mandatory ongoing training for staff.
- Maintain appropriate staffing ratios at all times; cover shifts as necessary due to call-offs or vacancies.
- Monitor and ensure timely, accurate completion of all required documentation, including:
- Medication Administration Records (MARs)
- Unusual Incident Reports (UIRs)
- Major Unusual Incidents (MUIs)
- Daily logs and other program documentation
- Maintain up-to-date knowledge of all clients' Individual Service Plans (ISPs), including medical, psychiatric, behavioral, nutritional, and social needs; train staff to implement ISPs as written.
- Actively support the admissions and discharge process for clients.
- Ensure compliance with all agency, state, and federal regulations.
- Promote and facilitate communication between Residential and Day/Activity programs to ensure coordinated care.
- Build and maintain positive, proactive, and professional relationships with clients' families and guardians; provide regular updates and address concerns promptly.
- Intervene immediately to resolve potential or actual issues with families/guardians or other stakeholders.
- Participate in agency meetings, trainings, and professional development activities as required.
- Ensure proper billing procedures are followed by maintaining required staffing ratios and accurate documentation.
- Monitor site expenses and work within the allocated budget.
- Ability to lift and transfer up to 50 pounds.
- Frequent standing, walking, bending, and reaching.
- May be required to assist clients' with mobility and activities of daily living.
- Ability to respond promptly to emergency situations, including physically assisting clients' as necessary.
