Job Summary

The Administrative Assistant II provides various professional administrative support for operational/leadership administration area in all aspects of development, operation, and administration. Requiring moderate exercise of independent judgment, initiative, and ability to make decisions relative to office operations. Manages priorities and performs with minimal supervision.

The annual salary for this position ranges from $45,400 – $50,000. The final offer will be based on candidates experience, qualifications, and overall fit for the role.

Essential Duties And Responsibilities

  • Provide various upper-level administrative support tasks for executive staff members (AVPs and Executive Directors) to help lead their units effectively.
  • Manage confidential and sensitive materials and information.
  • Manage leadership calendars.
  • Schedule and coordinate meetings with internal and external constituents.
  • Coordinate travel authorizations, arrangements, and travel expenditure reimbursement.
  • Preparation of high-level correspondence, presentations, minutes, data reports, and proofread documents for accuracy and/or official signature.
  • Assist with miscellaneous accounting items such as voucher entries, position management eforms, and requisitions.
  • Assist with onboarding and offboarding employees.
  • Post staff openings in PeopleAdmin, the applicant tracking system.
  • Prepare required new hire paperwork for full-time and student staff and vendors including criminal background check requests, technology and access requests, and welcome notifications.
  • Input data into client registration system, UT Share, and SharePoint.
  • Pull necessary reports.
  • Maintain EEC employee record keeping.
  • Create and file employee documents and maintain employee files.
  • Other Duties as Assigned

Minimum Qualifications

  • Bachelor’s degree.
  • Three (3) years of experience handling upper-level administrative responsibilities, or an equivalent mix of education and relevant experience in similar role.

Preferred Qualifications

  • Five (5) or more years working with upper-level management with responsible and appropriate knowledge of executive staff functions.
  • General to specific knowledge and experience in employment and records management policies and procedures of state or higher education organizations.
  • Previous accounting experience.
  • Experience with PeopleSoft/UT Share helpful.
  • Experience with general accounting processes.

Knowledge, Skills and Abilities

  • Must be highly motivated and collaborative.
  • Excellent verbal and written communication skills.
  • Must be able to write and respond to emails in a professional manner.
  • Advance knowledge Microsoft tools (Outlook, Excel, Word, and TEAMs), and other common office software.
  • Basic principles governing human resources and customer service.
  • Ability to maintain confidential information.
  • Ability managing time and assignments to meet deadlines.
  • High attention to detail.
