Job Summary

The Program Coordinator will work within the Administration Division, reporting directly to the Deputy Controller of Administration. This role serves as the team lead and the primary coordinator for the Transparent Idaho project, along with supporting various other projects and programs. Responsibilities include ensuring effective program management, managing website updates, and handling other administrative duties. The position will also work with state agencies and local government districts (School Districts, Counties, Cities, and other smaller local districts) as well as citizens of Idaho to provide information for the Transparent Idaho website.

Key Responsibilities

Manage and support multiple programs and projects, including Transparent Idaho and the Local Government Central Registry, while engaging with stakeholders at all levels of local government, state agencies, and the Idaho legislature. This role requires strong strategic planning, professional communication, and project management skills, along with the ability to lead meetings, collaborate and maintain positive working relationships with stakeholders. The Program Coordinator is also expected to foster a collaborative and motivated team environment by promoting open communication, encouraging innovation, and supporting team development.

Job Functions

Program Oversight:

  • Lead the Transparent Idaho project team and coordinate efforts with stakeholders and local government partners.
  • Assist the Deputy Controller of Administration by driving strategic direction, tracking progress, and implementing data governance policies, standards, and technical processes.
  • Serve as the main point of contact for program partners, maintaining consistent and effective communication.
  • Oversee the execution of the project vision and strategic plan, monitor key deadlines, and ensure smooth information sharing among participants.
  • Develop and implement administrative strategies while tracking progress and milestones across various initiatives.
  • Build and maintain a strong, motivated team through clear direction, support, and effective collaboration.

Website Management

  • Collaborate on marketing and communication strategies to promote Transparent Idaho and related public facing websites under the purview of the Office of the State Controller.
  • Engage with Idaho citizens, legislators, and agency stakeholders through website updates and analytics.
  • Regularly review website content, metrics, and respond to inquiries.

Additional Responsibilities

  • Contribute to the positive performance of the Administration Division and the Office of the State Controller as a whole.
  • Support the Transparent Idaho team by providing ongoing strategic plan development and stakeholder collaboration across various initiatives.
  • Lead meetings and presentations to deliver updates to internal and external audiences.
  • Facilitate resolution of data integrity issues with technical partners and data owners.
  • Demonstrate timely and consistent attendance as this is primarily an in-office position.
  • Perform other duties as assigned to meet the needs of the SCO and Idaho citizens.

Minimum Qualifications

  • Proven ability to build, lead, and motivate teams in a collaborative environment.
  • Experience in supervising multiple direct reports.
  • Strong analytical, organizational, and time management skills, with the ability to prioritize and manage multiple tasks effectively.
  • Effective facilitation and problem-solving skills, with the ability to communicate clear and concise updates to diverse stakeholders.
  • Self-starter with the ability to work independently and take initiative with minimal supervision.
  • Strong sense of customer service and professionalism with the ability to work within a project environment dealing with complex context while offering viable solutions and/or options.
  • Experience in marketing, including developing content and messaging for digital platforms.
  • Familiarity with managing or supporting social media accounts as part of an outreach or engagement strategy.
  • Skilled in drafting and maintaining policies, procedures, and supporting documentation.
  • Intermediate proficiency in Microsoft Office Suite (Word, Excel, Visio, Outlook), with the ability to learn new tools and systems quickly.

Education And Experience

  • Bachelor’s degree in a relevant field such as Business Administration, Project Management, Marketing, or a related discipline or an equivalent combination of education and experience.
  • Minimum of one year of experience coordinating or supporting projects.
  • At least one year of experience working in a professional office environment.
  • At least one year of experience preparing and delivering presentations to professional audiences.
