Job Summary

The Family Office Relationship Associate II is responsible for delivering exceptional client relationship support and servicing to ultra-high-net-worth (UHNW) clients and Family Office Advisors (FOA). Key responsibilities include building and maintaining strong client relationships through proactive communication and collaboration with the advisory team and internal business partners. This role serves as a point of contact for client inquiries, addressing needs, resolving account issues, and coordinating daily administrative activities such as account management, cash disbursements, and charitable gifting. This role helps create and generate reports, client meeting materials, and provides assistance to other members of the client relationship team (FOAs, Wealth Strategists and Portfolio Managers) as needed. The Client Service Associate II will escalate more complex issues to the Manager of Family Office Client Services or other senior team members.

Job Duties And Responsibilities

  • Builds, manages, and maintains strong client relationships through daily interactions with clients, family office advisor team, and internal/external business partners to contribute to the development of existing and new client relationships.
  • Coordinates and monitors all daily activities and transactions necessary for the efficient administration of UHNW clients' accounts to include, but not limited to: account opening and closing, cash management, asset transfers, bill review and payment processing, charitable gifting, private banking.
  • Prepares and assembles presentations for meetings, including cash flows, annual reviews, will schematics, asset allocation information, performance information, plan results, insurance coverage reviews, etc.
  • Facilitates the completion of the Investment Policy Statement process, inputting information for review and approval by the FOA and Portfolio Manager.
  • Assists the FOA in overseeing the risk management process for effective account reviews that comply with audit and compliance guidelines. Ensures the timely completion of testing and documentation, while keeping the FOA informed of monthly reviews for evaluation and sign-off.
  • May attend client meetings where appropriate, take notes, and provides action items for follow-up.
  • Coordinates the collection of printed and electronic signatures, maintains record keeping, and organizes and stores documents. Maintains data in accordance with document retention requirements, ensuring data accuracy, integrity, and confidentiality.
  • Sets alerts, creates, and distributes various trust-related communication, including Crummey letters, co-trustee letters, and recurring distribution letters.
  • Manages various reporting and transfers on UHNW investment programs, including covered call program and hedge fund reporting. Creates reports for client and advisor support, including overdraft management, age distributions, statement requests, client cash flows, compliance/audit reports, and various internal system reports.
  • Coordinates, schedules, and shares information across a client's external advisor team, including tax advisors, estate and planning advisors, insurance agents/brokers, legal advisors, CPAs, attorneys, and/or external investment advisors.
  • Collaborates across the organization with subject matter experts, including The Family Office, Synovus Trust Company, and Synovus Banking partners.
  • Each team member is expected to be aware of risk within their functional area. This includes observing all policies, procedures, laws, regulations and risk limits specific to their role. Additionally, they should raise and report known or suspected violations to the appropriate Company authority in a timely fashion.
  • Performs other related duties as required.

Minimum Education:

  • High school diploma or equivalent.

Minimum Experience:

  • Three years of job related work experience and/or administrative support experience.
