JOB SUMMARY: The Office Assistant provides essential administrative and clerical support to Aleut Real Estate (ARE) and Tayal Brokerage. This position plays a key role in supporting daily office operations, ensuring efficient workflow, and maintaining a professional and welcoming environment.
Primary Responsibilities

JOB SUMMARY: The Office Assistant provides essential administrative and clerical support to Aleut Real Estate (ARE) and Tayal Brokerage. This position plays a key role in supporting daily office operations, ensuring efficient workflow, and maintaining a professional and welcoming environment.
Primary Responsibilities
- Champion Aleut values: accountability, transparency and rigor.
- Provide administrative support to the operations of both ARE and Tayal Brokerage.
- Provide front desk coverage as needed.
- Identify and allocate workspace for new employees, coordinate with facilities for the setup and movement of office furniture.
- Regularly coordinate with facilities to address office needs and requests.
- Schedule and assist in the coordination of meetings, including room setup and catering arrangements. Manage the conference room calendars and communicate any changes or conflicts.
- Prepare and process letters, memos, forms, and reports; copy, sort, and file records related to office activities and business transactions.
- Manage all incoming and outgoing mail, monitor and maintain office supply inventory, reporting needs to management.
- Ensure office equipment is functional and well-maintained, coordinate repairs or supply orders with vendors or support services.
- Organize and support office-wide projects from planning through completion.
- Assist in planning and executing office events and staff activities.
- Maintain and update files, records, and internal documentation.
- Run offsite errands as needed to support office operations.
- Develop and maintain standard operating procedures for recurring tasks and processes.
- Perform other duties as assigned.
- Ability to work effectively with co-workers, managers, executives, board members, and outside contacts.
- Strong communication, active listening, and interpersonal skills.
- Ability to collaborate with individuals at all levels across ARE, Tayal Brokerage, and affiliated companies; exhibit a professional manner in dealing with others.
- Proficiency with Microsoft Office programs including Word, Excel, Outlook, Teams and PowerPoint.
- Excellent time management skills with the ability to prioritize multiple tasks and meet deadlines.
- Ability to work independently as well as collaboratively.
- Maintain a professional appearance in grooming and dress, as well as a friendly, professional demeanor.
- Self-motivated with the initiative to identify and take on tasks when available.
- Willingness to seek clarification and ask questions to ensure understanding of assigned responsibilities.
- High School Diploma or GED.
- Three (3) years working in an office setting, or any combination of experience, education, and training in a related field of work.
