Kalogon, a smart seating startup based in Melbourne, is hiring a Chief of Staff to act as an extension of the CEO—someone who can move seamlessly between high-level strategic thinking and day-to-day operational execution. Blending business insight, structured problem-solving, and precision in execution, you’ll be instrumental in helping the CEO prioritize what matters most and make meaningful progress on key company initiatives.
The scope is broad: you might be researching market data, joining the CEO on a business development trip, figuring out how to move 25 people and their offices, or drafting materials for an important meeting. At the same time, you’ll own the CEO’s calendar, coordinate complex travel, and ensure communication and logistics across the executive team run smoothly.
This is a high-trust, high-autonomy role for someone who thrives in a fast-moving environment, brings excellent judgment to the table, and knows when to take initiative—and when to check in. You have to be comfortable knowing the job on day 1 will be different on day 30 – and that you get to drive that change too.
What You’ll DoStrategic & Cross-Functional Projects- Help shape strategic decision-making by preparing memos, presentations, or briefing docs
- Partner with the CEO and executive team on business development, investor relations, and special projects—often owning the execution start to finish
- Manage the quarterly and weekly leadership team meetings to ensure goals are set, action items are captured, and the team can work effectively
- Attend key internal and external meetings to capture insights, drive follow-ups, and move initiatives forward
- Manage the CEO’s calendar, keeping time focused on what’s most urgent and strategically important
- Handle large-scale internal, cross-functional projects on an ad hoc basis
- Coordinate complex, multi-leg travel with an eye for detail and contingencies, and optimizing time for competing internal needs
- Track follow-ups, commitments, and communications to keep priorities aligned and moving
- Support operational rhythms like leadership meetings, team planning, and exec offsites
- Conduct basic tasks like depositing checks, ensuring the office is ready for key visitors, or other small tactical things that help Kalogon’s professionalism
- Identify gaps and propose new processes, solutions, or approaches
- When the CEO is on travel, serve as in in-person liaison for the office
- CEO operates at maximum efficiency with optimized time allocation
- Strategic initiatives progress with appropriate level of CEO involvement
- Leadership team runs smoothly, and no balls get dropped
- Projects get completed on time and on budget
- Small tasks don’t turn into big problems
- You become a trusted advisor representing the CEO's perspective accurately
- Strong intuition and sound judgment for when to act independently and when to get alignment

- Emotional intelligence to navigate complex interpersonal dynamics
- Willingness to find creative solutions for unexpected challenges
- 2+ years of experience in a Chief of Staff, EA, strategy, consulting, operations, or similar hybrid role — or you have a lot of experience working in a fast-paced entrepreneurial environment
- Demonstrated ability to manage fast-moving, high-stakes projects across multiple stakeholders
- Deep proficiency with tools like Google Workspace, Airtable, Excel, and calendar management platforms
- Must be able to work from Kalogon's HQ in Melbourne, FL
- Availability to travel occasionally and respond to time-sensitive needs as they arise
- Bachelor’s degree required; MBA or comparable experience is a plus
